AP Capital is a Global Hedgefund that trades across the entire spectrum of assets is seeking an Office Administrator in Singapore to help support and run the daily operations of the office and assist with local HR & Finance administration.
The Administrator will join our team and provide end to end support to HR, Finance and Front Office staff. In this role, you will be responsible for HR operations administration (Visa, MoM related matters, onboarding, payroll) & finance administration (basic book keeping, data entry, reporting). As well as office administration such as arranging meetings, travel, calendar management, document preparation, mail, office supplies, staff lunch, team events etc.
The role is 100% office based as it directly supports the team in the office.
Responsibilities and Requirements
- Assist with regulatory and compliance-related filings and communications.
- Manage office calendar and related office management duties
- Assist Senior staff for meetings, travel arrangements, business visa applications
- Create and update records and databases with personnel, financial and other data
- Track stocks of office supplies and place orders when necessary
- Managing daily lunch ordering & catering
- Submit timely reports and prepare presentations/proposals as assigned
- Assist finance colleagues with data entry, basic report preparations
- Maintaining physical and digital personnel records like employment contracts
- Staff onboarding & offboarding.
- Update internal databases with new hire information
- Create and distribute guidelines and FAQ documents about company policies
- Gather payroll data like bank accounts and working days
- Prepare reports and presentations on HR-related metrics like total number of hires by department
- Develop training and onboarding material
- Respond to employees’ questions about benefits
- Singapore Employment Pass application & renewal, previous experience with MOM
Requirements and Skills
- Proven work experience as a HR & Admin Officer, Administrator, EA or similar role
- Good knowledge of Singapore's labor legislation and related HR regulations
- Excellent knowledge of MS Office and office management software (ERP etc.)
- Outstanding communication and interpersonal abilities
- Excellent organisational and problem solving skills
- Fast, responsive and accurate able to multitask
- Comfortable working in a start-up environment.
