The Executive Assistant to the Head of School plays a pivotal role in the organisation of the School and assists the Head of School in the day-to-day work to ensure the smooth running of the office. This person is responsible for providing high-level confidential administrative, organisational and secretarial support and is expected to work autonomously to represent the Head of School and the School to internal and external stakeholders.

Overall Responsibilities

• Managing day-to-day operations of the Head of School.
• Scheduling meetings, calendar and other appointments of the Head of School.
• Handle sensitive information in a confidential manner.
• Organizing & maintaining files & records.
• Co-ordination of staff events.
• Maintain daily electronic documents on google shared drive.
• Preparing & formatting information for internal & external distribution.
• Record minutes of meetings
• Act as the primary contact between Head of School and parents.
• Collate and check staff claims/reimbursements for Head of School's approval.
• Organise Head of School claims for reimbursement.
• Supervise the front office staff activities.

Qualifications

Diploma or Degree in related field.

Minimum 2 years of relevant experience.

Good command of English and Mandarin, Usage of emails, Google Forms and MS Office.

Able to work independently with minimum supervision.

• Participate in staff development programme and productivity efforts
• Perform general administrative duties
• Provide clerical and administrative support
• Provide guidance and on-the-job training, including SOP sharing, to staff or volunteers
• Provide secretariat support to staff meetings
