Job responsibilities

• To be responsible for the preparation of report required by principal and internal stakeholders

• Be responsible on minutes taking and timely submission.

• To coordinate with internal stakeholders on related matters (e.g. Finance, Human Resource Department, etc.)

• To be in-charge of ensuring documents are being submitted timely with compliance to principal and company guidelines.

• Taking ownership of tracking Work in Progress status, follow up and update status to HOD.

• Preparation of the WIP summary for monthly meeting.

• To be familiar with warranty processes and ensure company adhere to warranty policies and guidelines,

• Ensure all repair orders and invoices are kept in order.

• Any other duties or tasks that are assign by Service Manager whenever needed.

Job requirements

• GCE ‘O’ Level or GCE ‘A’ Level/ Diploma

• 3 years’ experience in relevant industry

• Self-motivated and able to work independently.

• Quality orientation

Job Duties:

· Manage monthly principal service billings

· Handle all incoming phone calls, emails, and faxes promptly and professionally.

· Plan and coordinate daily deliveries and collections.

· Process sales order, delivery notes, invoices, quotations, debit notes and credit notes.

· Follow-up and respond promptly on customer backorders, contracts, enquires and requests.

· Work closely with internal stakeholders such as Warehouse, Operations, Sales, Engineering and Finance teams to resolve customer issues.

· Ensure conformance to required Standard Operating Procedures.

· Manage daily invoice scanning

· Follow up with key customers on outstanding invoice payment.

· Provide Administrative support, as and when required.

· Act as backup for other team members, as and when required

Requirement:

· Minimum ‘O’ Levels and ablove

· Previous customer service experience will be advantageous

· Competent in Microsoft Office (especially MS-Excel) applications

Roles & Responsibilities:

· Respond promptly to customer inquiries via emails, telephone calls and social media platforms

· Provide pricing and delivery information

· Process orders, shipments, invoices and filing

· Receipts of incoming shipments

· Handle overseas customers and affiliates' shipment and admin requirements.

· Schedule engineering preventive maintenance and upkeep all related documents.

· Keep records of customer interactions and transactions

· Manage administration matters

· Support, communicate and coordinate with Sales team and internal departments
