General Summary:

The ESCC Assistant Supervisor/Assistant Centre Manager will undertake daily responsibilities associated with planning, operations, implementation, management, and administrative support. This includes coordinating activities, conducting assessments, engaging with, and providing support to children and families, and maintaining program documentation. The role entails collaboration with internal teams and external partners to ensure the efficient delivery of service of the centre.

Additionally, ESCC Assistant Supervisor/Assistant Centre Manager will be involved in management meetings, supervision, assessment and intervention planning for students, and coordination with professionals and community resources for service delivery and follow-up.

Reporting Structure:

The ESCC Assistant Supervisor/Assistant Centre Manager will report to the Executive Director of Woodlands Social Centre and/or the Board of Directors.

Key Responsibilities:

1. Program Planning and Implementation:

• Development of relevant daily programs and special projects to meet the needs of the students.
• Plan, coordinate, implement, execute program activities (eg. art and craft, character building, holiday excursions), and ensuring adherence to objectives and timelines.
• Plan and execute yearly events and activities at the centre (house-keeping, holiday programmes for students).

2. Assessment and Support:

• Conduct assessments to identify the needs of students/families.
• Counsel students with behavioural and/or disciplinary issues.
• Provide care and supervise students in an after-school care setting.
• Provide support to students, including their families, through various interventions and activities.
• Deliver support and intervention services to students and their families, addressing prioritized needs within the centre's policies, philosophy and procedures.
• Guide students in their schoolwork in at least two subjects (English/Chinese/Maths/Science).

3. Collaboration and Partnership:

• Liaise with schools and parents regarding students’ progress and behaviour.
• Collaborate with internal teams from Woodlands Social Centre (WSC HQ), and external partners to ensure smooth program delivery.
• Establish and cultivate strong relationships with stakeholders, including community organizations, schools, and government agencies.
• Coordinate with professionals and community resources for service delivery and follow-up.
• Collaborate with the Volunteer Manager in volunteer management, including recruitment, onboarding, training, and supervision.

4. Documentation and Reporting:

• Maintain accurate and up-to-date program documentation, including students records, progress notes, program evaluation, fees collection, subsidy application, compliance with governmental rules and regulations.
• Prepare required reports and documentation for management, government agencies and relevant stakeholders.

5. Management and Administrative Support

• Manage enquiries of new students.
• Manage team of teachers in community-based student care centre.
• Evaluate and provide feedback to the staff on classroom management skills.
• Coordinate annual staff appraisal, declaration of offenses, conflict of interest etc
• Manage all administrative operations of the centre (eg staff training, finance and claims of staff).

Duties and scope of work for Supervisor at Kidsville Student Care Centre at Yishun.

1.Plan, co-ordinate and oversee all the programmes, activities and facilities required for the provision of holistic afterschool Student Care services which includes:

• Maintenance and cleanliness of the premises to ensure that students have a comfortable "second home" for conducive stay and learning.
• Scheduling of fetching of students from schools afte dismissal/extra classes/activities.
• Planning balanced nutritious meals with a variety menu incorporating the children;s favourite dishes and monitoring the preparation of the meals.
• Scheduling Tuition/Study Time to reinforce what the students learn in school and guide them in their homework and revision work.
• Provision of play environment where students are encouraged to mingle and interact with their friends during their play time.
• Having close rapport with parents to keep parents informed of their children's progress and wellbeing.

2. Plan and arrange various school holiday programme activities:

• Workout costing for the individual activities
• issue consent form to seek consent from the parents and collection of the fees.
• Arrange for transport for the outings/excursions. Allocate staff and oversee to ensure the safety and wellbeing of the students.
• Plan the preparation and coordination of the outdoor meals/tea breaks during the outings/excursions.

3. Handle SSNet SCFA (SFinancial Assistance) matters with MSF

• Process and submit online new/renew SCFA Applications on behalf of the parents
• Submit 6 monthly reports to MSF
• Facilitate auditing by SCFA/MSF officers

4. Handle staff mattters

• Maintain staff attendance,approve leave application of the team membes (3 teachers, 2 cook cum cleaners and 1 cleaner) and ensure all duties and services are provided when any team member is away
• Process staff OT claims and submit to Management

5. Handle collection/recording fees and submit to accounts.

• Provide monthly update of enrolments/withdrawals to Accounts.

6. Conduct regular meetings with the staff for discussion of any problems/issues/feedback and to fine tune things immediately if necessary. Record minutes of the meetings for management's information.

7. Monitor and approve groceries required for the kitchen:

• Issue weekly petty cash to the cook for other purchases and check and clear the purchases for submission to Accounts.

8. Source and prepare the contents for the Weekly Character Building Activity for the students. Hold weekly discussions with the teachers to guide them to facilitate the activity for their respective level of students.

9. Keep track of students' behaviour, academic progress and provide assistance to the students and teachers in resolving any issues.

Ensure consistency and fairness among the teachers in handling the students.

10. Provide councelling for the teachers and students as and when required.

Take over classroom management/teaching as and when teachers are away on Annual leave.

Carry out maintenance servicing and repair of machine, fuel system and including it's control panel and instruments. Overview of system briefing will be given and training to applicant to know how the system works. Subsequent maintenance may may require applicant to work independently for both maintenance and repairs. Job require to travel from one site to another in Singapore depending on schedule and client availablility. Coordination and scheduling of works involve including submission of service report. Some general knowledge of both electrical and mechanical system including driving licence. Willing to Hands-on, learn new system, standby & attend any emergency breakdown service.
