KEY RESPONSIBILITIES:

· Support the event sales team

· Prepare proposals, contract, and event orders under the guidance of the sales team

· Help manage client communication including answering inquiries and following up on leads

· Coordinate with the marketing, operations, finance team regarding sales initiatives, exhibitor fulfillment and payment

· Assist in maintaining accurate records of sales activities and client interactions in CRM system and other event platforms

· Provide administrative support, such as data entry, report generation, documentation and file organization

· Participate in post-event evaluations and gather client feedback

JOB DETAILS:

Sales Support:

- Extract and distribute sales enquiries from HubSpot to all sales staffs consistently and on time

- Build up the Sales Pipeline on Salesforce based on the data collected from HubSpot

- Tracked sales leads and ensure Sales Team to update the weightage percentage promptly

- Processed sales order, including preparing and sending the contracts to Exhibitors

- Manage, track and update the “live” floor plan, marking booths as on hold or reserved, adding, merging,

moving… booths/spaces

- Monitored the contracts status and keep Exhibitors and the sales team informed of any delays or issues.

- Coordinate with Finance team to ensure timely billing

- Collect and upload Exhibitor information (displayed name, logo, company description, exhibitor profile) on Online Exhibitor Manual

Coordinating:

- Serve as the primary point of contact between the sales team and other departments (eg: marketing, finance, sales team)

- Help organize and coordinate during the event

Customer Service:

- Maintain and update MYS & Salesforce system with customer information, contract status and pipeline data

- Address customer inquiries, provide the event information, and resolve issues as needed

- Follow up with customer on pending payments and pending returned contracts

Report:

- Provide weekly updated Sales Report to Management

- Maintain and monitor the sales revenues report

Keep track of Exhibitors’ sponsorship tier level, number of badges and tickets

QUALIFICATIONS

· Strong interest in event sales, or event management

The incumbent will be responsible for providing technical support leading MHI-AP’s efforts as a regional after-sales service hub to expand the refrigeration system market in Southeast Asia.

Roles & responsibilities

After Services Sales

• Provide technical support in details to customers.
• Educate/support local service partners in Southeast Asia including Singapore, Indonesia, Thailand and Vietnam
• Promote after sales service activities for existing and potential customer’s refrigeration systems.
• Manage the sub-contractor organization
• Manage the service/maintenance support system.
• Trouble shooting engineering matter support

HR Management

• Lead, evaluate and develop the Refrigeration System BU engineers, including direct instructions on service activities to team members;
• Manage the supervisory service arrangement to customers’ sites to facilitate execution of works.
• Support the manager to assign engineers to specific service project, arrange/adjust engineers’ schedule.

New Business Development

• Promote after sales service business in Southeast Asia in cooperation with Mitsubishi Heavy Industries Thermal Systems, Ltd. (MTH).
• Support an engineering matter for new sales to receive new refrigeration system orders.

Job Requirements

• Bachelor’s Degree in Engineering, Business
• Minimum 3 years experience as service engineer of chiller systems
• A wide range of knowledge on sales activities and engineering functions
• Multi-year experience on sales and/or commercial in large plants, such as refrigeration units and power generation plants
• Ability to coordinate between MTH Japan and MHI-AP
• Able to work under pressure
• Chiller operation, maintenance, and trouble shooting
• Broad and deep knowledge of chiller system products handled by MTH
• Effective communication skills (written and spoken) to interface with parties both inside and outside the organization, overseas and Japanese customers and Mitsubishi group counterparts such as MTH Japan with Japanese language and English
• Japanese Language Proficiency of JLPT N1 is required as there will be frequent correspondences with counterparts in Japan

The job holder (2-year contract) supports the Senior Manager (Team Lead) to spearhead Yayasan MENDAKI (MENDAKI)’s push towards last-mile service delivery (LMSD) to better meet the needs of the MM community. MENDAKI is embarking on a strategic client-centric initiative to achieve the next bound of service delivery, by proactively reaching out to families to understand their needs, care for them and partner them in their journey of lifelong learning.

Key Responsibility Areas

Outreach

Conduct outreach to members of the community, including families who may be in need of services, to stakeholders/partners;

1. Work with the team to identify ways to reach out to different segments of the community so as to identify and engage with under-served members.
2. Identify partners and potential partners within the community to engage and collaborate with.
3. Conduct engagement with members of the public and the community
4. Support the planning, deployment and assessment of outreach efforts.

Care

Conduct care management of families and youth, through completion of holistic assessments of the family’s needs and delivery of targeted interventions.

1. Engage with help seekers either through walk in or call enquiries, build rapport with them and identify the areas of support needed.
2. Conduct holistic assessments of clients and their family members, identifying areas of needs and intervention.
3. Partner with the client in problem solving and developing care plans to meet his/her needs.
4. Propose and implement suitable interventions (in collaboration with other agencies known to the family, where available) to meet the needs of clients.

Administrative

Manage satellite centre operations/ youthspace.

1. Collate data on centre activities, including activities run in the vicinity or M3@Town, to provide progress updates to management
2. Monitor the use and maintenance of centre space and equipment;
3. Collaborate with internal departments and partners for utilisation of centre or partner’s premises.
4. Manage manpower roster to ensure the smooth running of centre

In achieving the above, the Executive Officer will work with the team under the direct and close guidance of the Team Lead and with the support of the relevant support departments.
