We are seeking a highly motivated and experienced Customer Service Executive cum Trainer to join our dynamic team. The ideal candidate will serve as the primary point of contact for tenants residing in properties managed by our company, ensuring a seamless experience through prompt and clear communication. In addition to handling customer queries, this role will also involve delivering training sessions aimed at improving customer service processes and skills within the team.

Responsibilities:

1. Customer Service:

• Serve as the main point of contact for tenants, addressing inquiries, concerns, and requests via phone, email, and in-person interactions.
• Respond to tenant queries in a timely and efficient manner, ensuring resolution of issues related to property management, maintenance, billing, and other tenant services.
• Maintain a high standard of communication, ensuring clarity, professionalism, and friendliness in all interactions.
• Handle customer complaints with patience and empathy, escalating cases to senior management when necessary.
• Provide follow-up to ensure tenant satisfaction and resolve any lingering concerns.
• Work closely with property management teams to coordinate solutions for tenants and ensure smooth day-to-day operations.

2. Training & Development:

• Conduct training programs for new customer service staff to equip them with knowledge about company processes, communication protocols, and tenant management strategies.
• Develop and maintain training materials, such as guides, FAQs, and templates, for the customer service team.
• Train employees on how to handle tenant inquiries effectively through email and phone.
• Identify knowledge gaps within the team and provide one-on-one or group training sessions to address them.
• Stay updated on best practices in customer service and incorporate them into training modules.

3. Communication & Coordination:

• Liaise with internal teams, such as property managers and maintenance staff, to ensure tenant issues are resolved promptly.
• Communicate updates, policy changes, and new services to tenants, ensuring they are well-informed.
• Keep accurate records of tenant interactions, inquiries, and complaints to track performance and ensure a high level of customer satisfaction.

4. Performance Tracking & Reporting:

• Monitor key customer service metrics (e.g., response time, customer satisfaction scores) and report on performance to management.
• Provide feedback on areas for improvement based on tenant feedback and team performance.

Requirements:

• Experience: 3-5 years of experience in customer service in any industry, preferably with experience handling customer queries via email and phone.
• Communication Skills: Exceptional verbal and written communication skills with a strong ability to communicate clearly and effectively.
• Training Experience: Previous experience in training customer service teams is preferred, with a solid understanding of training methodologies and materials development.
• Technical Skills: High proficiency in using email, phone systems, and other customer service software or tools to manage tenant queries.
• Problem-Solving: Ability to handle customer complaints with tact, empathy, and quick thinking to find suitable solutions.
• Team Player: Ability to collaborate effectively with different departments and contribute to a positive work environment.

Preferred Qualifications:

• Experience in property management or real estate is an added advantage.
• Proven ability to work in a fast-paced environment while managing multiple tasks.
• Strong organizational skills with attention to detail.

Job Description:

• Perform pre-operative assessment for all surgery patients and prepare for surgery.
• Assist patient care activities.
• Perform vital signs monitoring and record measurement.
• Assist to send and fetch patients to and from Operating Theatre.
• Assists with lifting, transferring, positioning and safe transporting of patients.
• Assist in safe keeping of patients’ belongings / clothing.
• Assist to order, coordinate, and collect patient’s snacks from vendor.
• Prepare and serve beverages, snacks and assist to feed Low vision, handicapped or immobile patients.
• Record of intake and output chart.
• Assist nurses with discharge.
• Change bed linen and patient’s clothing.
• Assists in safe keeping of patients’ belongings /clothing.
• Prepare patient for physical examination and/or other procedures.
• Prepare VVIP Bed Linen/ crockery/ utensils and Kimonos.
• Ensures VVIP rooms and toilets are clean.

Housekeeping

• Ensures the patients’ cubicles, recliners, bedside lockers, and furniture clean and tidy at all times.
• Properly dispose of the used disposable paper pulp products by placing it into macerator.
• Keep beverage point table tops and cupboards clean and tidy at all times.
• Clean all the trolleys, work surfaces and equipment like fridge as scheduled.
• Report faulty beds and wheelchairs or furniture to nurse-in-charge.
• Provide housekeeping duties which include the following:
• Cleans and mops spillages or discharges.
• Clear breakages, if any.
• Make beds and maintain tidiness of beds and lockers.
• Assist in the proper storage of linen and other ward supplies as directed.

Patient Confidentiality and Infection Control

• Observe confidentiality of patients’ information and record at all times.
• Performs and practice standard precaution and hand hygiene when in contact with patients/ patient related activities and surroundings.
• Wear proper PPE when performing all functions of decontamination.

Risk Management

• Adhere to workplace safety and health (incident reporting) regulations.
• Attend yearly fire safety awareness talk/ drill exercise and be responsible with emergency procedures.

Portering

• Receive and acknowledge items/supplies from suppliers/MMD.
• Dispatch and collect invoices and mails when required.
• Despatch Blood specimens/ specimens to the respective laboratory
• Escort patient’s relatives to SGH Admission Office or A&E Department for registration when necessary.
• Assist patients to Clinics or Taxi Stand as instructed by the nurses.
• Assist the nurse to transfer patient to SGH
• Assist to send and fetch patients to and from Operating Theatre.

Resource Management

• Assumes the responsibilities for care and maintenance of equipment.
• Assist in the proper storage of equipment.
• Report any defective equipment.
• Perform pantry duties and ensure sufficient rations supplies.
• Exercise economy and appropriate use of utilities, resources and supplies
• Serves as a buddy providing supportive information and guidance to newly recruited staff.
• Inform supervisor of any problems or incidents encountered.
• Participate in department and organization activities.
• Perform any other duties as assigned

Job Requirements:

• PSLE / Workplace Literacy and Numeracy (WPLN) Level 3
• Demonstrate good communication and interpersonal skills with patients and colleagues.
• Promote collegially and positive teamwork relationship

Customer Service Coordinator

Basic Salary: $2,000 - $2,300 + OT + AWS & variable Bonus

• Provide customer service support via phone and email.
• Attend to Customer’s enquires on product, RFQ and deliveries.
• Preparing of shipping document and import/export documentation.
• Monitor and ensure outgoing shipments being delivered as prescribed.

• Processing of invoice promptly.
• Extract and tabulate data for report analysis using Microsoft Office Suite.
