NTU Shared Services (NSS) is a centralized unit within Nanyang Technological University (NTU) that provides a wide range of administrative, operational, and support services to various departments and units within the university. The Assistant Manager, Finance is responsible for :

Operational & Service Delivery

• Manage and oversee the day-to-day operations of the University's Shared Services Finance-Fixed Assets team, ensuring adherence to the University's accounting policies and internal controls.
• Ensure the accuracy and timeliness of all asset activities, including capitalization of assets under construction (work-in-progress), asset acquisition, disposals, transfers, and depreciation postings.
• Review asset-related journal postings, Asset Under Construction costing for settlement to final assets, schedules, reconciliations and reports prepared by the team.
• Review and approve asset disposals via the Asset Management System (AMS).
• Review Monthly/Quarterly/Year-end Financial closing reports, ensuring all reporting/schedules and adjustment entries are accurately and promptly prepared/posted.
• Liaise with Internal/external Auditors regarding audit queries.
• Supervise and coach team members, to ensure all deliverables of the team are completed accurately and on time.
• Develop team members to groom them for more complex/senior roles in the team.
• Ensure Standard Operating Procedures and Knowledge Articles are up-to-date and properly documented.
• Monitor and manage KPIs and SLAs to ensure they are achieved with the highest level of customer service.
• Identify automation and process streamlining opportunities and collaborate with relevant teams on system implementation, enhancement, and user acceptance testing.
• Participate in ad hoc projects based on business requirements.

Relationship Management/Customer Relations

• Cooperate and build positive relationships with peers and supervisors to ensure process efficiency and consistency.
• Communicates with customers and other employees to resolve queries/address requests and concerns.

Requirements

• Degree with at least 6-8 years of related working experience, preferably in an educational institute.
• Experience in ERP financial system (e.g., SAP Hana is preferred).
• Good knowledge of Microsoft Office applications (e.g., MS Excel, Word, PowerPoint).
• Good communication skills, both written and oral.  
• Detailed oriented, meticulous with positive attitude.
• Resourceful, self-driven, proactive, problem solver, ability to work independently.
• Good organisational and planning skills.
• A team player who works well with various stakeholders.
• Ability to work well under pressure.

Support the Finance Business Partner in business partnering role and strategic financial direction and provide support on finance operations and management reporting, ensuring compliance with the University’s policies and procedures.

This role will have one direct report.

Responsibilities

Finance Business Partnering

• Provide finance leadership and guidance to internal stakeholders and divisions, including day-to-day operations, to ensure adherence and complicant to the University’s policies.
• Partner with internal stakeholders to support the strategic financial direction of various units.
• Key contact person in the review and implementation of new initiatives in terms of profitability and financial sustainability, and assessing and supporting the operational impact.

Budgeting, Financial Analysis and Reporting

• Prepare and review monthly management reports with analysis and provide business insights to key stakeholders such as Programme Directors and Heads to support decision making and drive performance, while ensuring financial sustainability.
• Coordinate annual budget process, accompanied with solid analysis that shows understanding of the business.
• Monitor budget execution and utilization. Perform evaluation on budget utilization and performance to facilitate decision making on prioritization and strategy.
• Conduct decision-support analyses that provides real-time and accurate financial information. Draws insights from such analyses to make recommendations to the Management team, as well as relevant stakeholders.

General Ledger and Controllership

• Verify and submit journal requests.
• Monitor and conduct regular reviews of balance sheet GL accounts and receivables etc. and preparation of year-end reporting schedules.

Leadership

• Provide guidance and support to junior staff and encourage continuous learning and growth.

Process Improvement and Others

• Identify areas for continuous improvement in workflow e.g. procurement workflow and internal controls to drive operational efficiency.
• Other ad-hoc tasks.

Requirements

• Degree in Accountancy/Finance or equivalent.
• Chartered Accountant qualification is advantageous.
• At least 4 years of relevant experience.
• Knowledge in SAC, Advanced Excel, SAP, Concur, Ariba, Power BI are advantageous.
• Comfortable operating in a matrix structure and dynamic environment.
• Ability to take initiative and work independently and collaboratively within and across teams.
• Demonstrated ability to build and maintain effective interpersonal relationships at all levels.
• Strong analytical thinking and communication skills both written and verbal. Articulate when presenting to senior stakeholders.
• Outstanding attention to detail and follow-up skills with a ‘hands-on’ personality.
• Well-developed prioritization, time management and multi-tasking skills.

Assistant Head (Research) - Finance Department (3-Year Contract) [NIE]

Responsibilities

Reporting to Head/Finance, you will be responsible for the following functions:

• Administration of Research grant and projects of NIE.
• Administration of the financial project (WBS) modules in SAP and Research management system.
• Collaborate with internal stakeholders and management on grant budget, grant usage, reporting and cashflow.
• Plan/oversee internal administrative processes in research grant management, grant usage and grant reporting to ensure compliance with terms and conditions of funding agencies and University's policies.
• Collaborate with external funders and external auditors on grant matters.
• Identify and implement opportunities for continuous improvements to enhance the financial management processes and procedures; through streamlining and automation.
• Supervision of staff.

Requirements

• A University Degree in Accountancy or in Accounting major.
• At least 5 years of accounting and managerial experience.
• Must be a member of the ISCA (The Institute of Singapore Chartered Accountants).
• Strong interpersonal, organizational, communication and writing skills.
• Strong conceptualization and analytical skills.
• Highly Proficient in Microsoft Office Applications.
• Self-motivated, able to work independently and as a team player.
• Knowledge of SAP Hana S4 and SAP Concur would be an advantage.
