To be a senior contributor in the Trust Services team, supporting the Head of Trust Services (Private Clients) to lead and manage the Private Clients team to be an effective, efficient and profitable part of Ocorian.

The candidate will be responsible for the client administrative delivery, operations and service standards of their area whilst creating strong profitable relationships with clients.

Main responsibilities

• Support the local Head of Trust Services (Private Clients) in his/her overall duties, including but not limited to, overseeing the daily client administration, operational aspects, ongoing regulatory and compliance oversight, business development efforts, and motivating the team.
• To support and mentor the Trust Services team including assisting with ongoing client responsibilities, in addition to supporting with the management of the Group.
• Guide, motivate and oversee the Trust officers and managers to ensure excellence in client delivery, within agreed timelines whilst esteeming appropriate risk mitigation.
• Support and ensure performance targets of the Private Clients team are on track and motivating.
• To manage the day-to-day administration of the Private Client team specifically covering a varied and complex portfolio of trust structures, and to maintain a wide knowledge and understanding of trust and corporate administration generally, to include money laundering, compliance and relevant legislation.
• Acquire a thorough understanding of the structures used by clients and the reasons for so doing.
• Act as Director and/or bank account signatory for Private Clients client companies
• Act as Resident Manager for Ocorian Singapore Trust Company
• Act as Data Protection Officer (DPO) for investment holding companies underlying Trust structures where appropriate.
• Foster close working relationships with other service and support lines in the local office and Group.
• To ensure absolute compliance with KYC procedures whilst maintaining knowledge of the client business and operational workloads.
• Work closely with Business Development and Subject-Matter-Experts (SMEs) with the on-boarding of new business within the Group.
• To ensure prompt billing and cash collection are carried out effectively and in a timely manner.
• Any other such duties that would be reasonably required for this role.

Expectations of a Media Billing Manager

Manage operation process and lead a team, including but not limited to:

The Manager will report to the Financial Controller and be responsible for the spectrum of finance functions, including accounting, consolidation and finance operations of Sun Venture's assets. Working closely with various stakeholders, the Manager plays a critical role in ensuring compliance with our internal policies, financial reporting standards and relevant regulations. These include to:

• Prepare the full set of monthly management accounts for entities, including issuance of invoices and making payments
• Review the full set of monthly management accounts prepared by junior employees
• Ensure audit, tax and regulatory compliance, including liaising with auditors on annual statutory audit and annual returns filing, liaising with tax agents on corporate tax filing, preparing and completing quarterly GST filing as well as filing with various other government agencies
• Prepare and review management reports to provide updates on the business performance to the management team
• Participate and support the budget and forecasting process, and perform variance analysis to identify opportunities for growth and cost discipline
• Participate and support process improvement initiatives

• Degree in Accountancy/Finance with CPA/CA (or equivalent) qualifications
• Minimum 6-8 years relevant accounting experience in real estate, private equity, or asset management industry, including at least 2 years in managerial roles
• Knowledge of financial reporting standards, tax regulations and compliance requirements of the real estate, funds and asset management industry
• Highly organised and detail-oriented, with a commitment to maintaining accuracy and compliance
• Able to work independently and in a team, with strong communication and interpersonal skills
• Proficiency in various Microsoft applications, including Excel, PowerPoint, and Word
• Familiarity with Yardi and Microsoft Power Platform is an added advantage

The successful applicant will be placed on a one-year contract.

Summary

This position is responsible for the entire credit granting process, bill collection, including the consistent application of a credit policy. Conducts periodic credit reviews of existing customers, and the assessment of the credit worthiness of potential customers, with the goal of optimizing the mix of company sales and bad debt losses.

Job Responsibilities

Credit applications:

· Process credit applications within 10 working days, ensuring that clients are notified promptly and professionally. The credit worthiness of all applicants is formally checked and approval must be received from the Director of Finance.

· Review the credit worthiness of all existing non-Accor approved clients on a yearly basis.

City Ledger:

· Ensure all invoices / statements are issued on a timely basis.

· Monitor the prompt follow-up of all overdue accounts and minimize the recovery delay.

· Monitors the special billing arrangements for groups and conventions as required to ensure that postings are in line with customer requirements.

· Monitor and pursue collection of overdue accounts.

· Review city ledger daily for correct postings of charges and take corrective action where necessary.

· Review bad debts listing monthly to prepare collectability analysis for monthly provision for doubtful debts.

· Respond to and resolve account queries in conjunction with accounts receivable.

· Review provision, write-offs and other adjustments immediately prior to month end.

· Implement effective inquiry response procedure for guests and management.

· Ensure all travel agent commissions are timely processed and paid.

· Report on monthly accounts receivable ageing analysis and detailed accounts’ ledgers.

· Conduct credit meetings at least once a month, with relevant highlighting monthly performance, bad debts, staff accounts outstanding and discuss any accounts causing concern and follow up.

· Attend Credit Managers meetings to keep up to date knowledge of credit risks.

· Appropriately manage all delinquent accounts, liaising with debt collectors where needed.

· Review and recommend accounts to be written off, providing appropriate documentation.

Guest Ledger and liaison with Front Office:

· Liaise between the Finance Department and the Front Office.

· Ensure PX and PM accounts are checked on daily basis and transferred to city ledger within 48hrs from the departure date.

· Review the Advance Deposit ledger to ensure all the balances are either current or for future date.

· Inform the Front Office Manager of any deviations from policy by Duty Managers, or Front Office Agents that may come to his/ her attention.

· Ensure guest refunds are processed in a timely manner as per the hotel policy; with all supporting paperwork and required authorizations.

Commercial Responsibilities

· To keep closed contact with hotel debtors i.e. Travel Agents, Airlines, Corporate clients and Individuals.
