Purpose of the job

To manage the day-to-day administration of a varied portfolio of trust structures and to maintain a wide and detailed knowledge and understanding of trust administration generally, to include money laundering, compliance and relevant legislation.

Main responsibilities

Invoicing:

• Setup and maintain JFS (i.e. client invoicing) codes for accurate tracking and reporting.
• Generate, review, and amend invoices to ensure accuracy with agreed fee standards and internal processes.
• Liaison with offshore billing teams to ensure a smooth invoicing process.
• Prepare and issue credit notes as necessary
• Approve and issue final invoices to clients in a timely manner
• Coordinate invoicing activities with offshore entities, such as Ocorian BVI

 

Payment Processing:

• Liaison with Accounts Payable team for payment matters
• Process payments accurately and efficiently, ensuring all transactions are recorded correctly.
• Resolve any payment discrepancies promptly to maintain financial accuracy.

 

Data Management:

• Maintain and update the NavOne system to ensure accurate client data and reporting.
• Troubleshoot and resolve any system-related issues in collaboration with IT.
• Organize and manage digital files within the iManage system for easy retrieval and compliance purposes.
• Regularly review data for accuracy and completeness.
• Address and clear any mandatory data backlogs to ensure compliance with regulatory requirements.
• Scan and file physical and digital documents to maintain an organized and accessible records system.

Any other ad hoc duties as needed in support of the Private Clients team.

About FRAP
As part of EDB’s continuous efforts to develop the suite of industries in Singapore, the Finance, Risk & Assurance and Procurement (FRAP) division is an imperative business partner to our officers in the industry and policy groups. The division looks after EDB’s financial operations, financial controls, accounting, procurement as well risk management.

[What you will be working on]

As a FRAP business partner, you will be responsible for supporting the IT division by providing advisory on their procure to pay activities. This role requires extensive cross-functional partnership with various stakeholders.

Key responsibilities will include:

1. Engaging with relevant internal and external stakeholders on:

• Budget management such as budget analysis/evaluation, budget preparation, monitoring and reporting

• Procurement activities such as policy formulation, co-solution and vetting of procurement requirement specifications and approvals for compliance with procurement policies, guidelines and processes.

• Financial reporting and management which include accounts payable activities such as payment review and processing, fixed assets and tax accounting as well as the use of data analytics to derive relevant insights and trends.

2. Identifying opportunities for continuous improvement, while keeping abreast of policies, processes and key risks.

[What we are looking for]

To meet the challenges of this role, you must have/be:

• Bachelor’s Degree in Accountancy, Finance or Business Administration; or equivalent.

• At least 5 years of relevant experience, preferably in the areas of procurement, audit, and/or accounting.

• Excellent communication, interpersonal and project management skills.

• Good problem solving and critical thinking skills, results oriented and able to work effectively under pressure or on multiple priorities and projects.

• Knowledge in either IT procurement, financial controls, and/or Government Procurement Instruction Manuals would be an advantage.

Administer and maintain the JIRA instance including installation configuration and regular updates to the latest version. Manage user accounts permissions and access levels collaborating with various teams to set up appropriate user groups and project roles. Design create and maintain custom Dashboards workflows issue types and fields to match project processes and requirements. Oversee integrations between JIRA and other tools like. Confluence third party apps Troubleshoot integration issues and collaborate with relevant teams to resolve them. Configure and maintain projects boards and filters to support different teams’ workflows and ensure data accuracy and integrity. Monitor system performance and proactively address any bottlenecks or performance issues. Scale the system as needed to accommodate increasing demand and usage Implement and enforce security best practices to protect sensitive data and prevent unauthorized access. Set up and maintain a robust backup and recovery strategy to ensure data integrity and business continuity. Provide training and support to end users and team members including best practices tips and tricks for using JIRA effectively. Investigate and resolve complex issues related to JIRA functionality integrations and data integrity. Maintain detailed documentation for system configurations processes and procedures. Manage the deployment of JIRA changes updates and new features while minimizing disruptions to ongoing projects. Collaborate closely with cross functional teams’ stakeholders and vendors to understand requirements and ensure smooth collaboration.
