Responsibilities:

Accounts Payable (AP):

· Ensure that all invoices are posted timely in the accounting system

· Manage vendor invoices by matching to Purchase Orders (PO), Delivery Orders (DO).

· Process claims, reimbursements and suppliers’ invoices.

· Handle bi-monthly payment cycle.

· Co-ordinate with respective account signatories for signing.

Admin Support:

· Preparing, proofreading, and distributing documents, reports, and memos.

· Scheduling and coordinating meetings, appointments, and events.

· Filing and retrieving documents (both electronic and physical).

· Serving as co-ordinator and a liaison between the department and external contacts.

· Drafting and sending official communications on behalf of the organization or executives.

Other accounting/admin support:

· Any other duties as assigned by supervisor and management.

Desirable Attributes & Qualifications:

· Certificate, Diploma in Accounting or equivalent is an advantage.

· 1 – 3 years’ experience in relevant fields is an advantage.

· Meticulous and diligent.

· Ability to work well in teams.

· Experience with accounting software.

Working Days:

Monday to Friday, 9.00am to 6.30pm

This position performs all duties in Accounts Payable (AP) and HR support functions.

Major Duties and Responsibilities:

• Input and process completed purchases in the accounting system, after matching and validating suppliers’ invoices, purchase orders and other supporting documents.
• Process and prepare payments by cheque/TT/GIRO to vendors.
• Consolidate and prepare petty cash payments monthly.
• Handle all enquiries relating to AP.
• Update and maintain master record of vendors in the accounting system.
• Reconcile AP Creditors Accounts in GL.
• Update leasing and hire purchase schedules.
• Prepare the provisions, accruals, prepayments and clearing accounts monthly.
• Process month-end closing of AP module in accounting system.
• Generate monthly AP reports.
• Prepare a statement of unpresented cheques.
• Assist in preparation of audit schedules.
• Handle banking matters.
• Provide effective HR Business partnering support to all staff in HR matters and issues.
• Effectively utilize HRIS to record, update employees’ data.
• Provide excellent customer service in responding to enquiries effectively and efficiently.
• Maintain employees’ data and files and ensure they are kept up to date.
• Provide support on the recruitment process including shortlisting of candidates, organization of interviews, administration of new work pass, documents submission, verification of documents.
• Prepare documents for onboarding and offboarding.
• Assist in the organizing of staff events and ordering of hampers.
• Assist to collate data for Group Insurance renewal.
• Assist on ad-hoc duties / projects as requested by the Director, Finance & Manager, HR.

Key Responsibilities:

• Monitor and update the portfolio of bonds and REITS such as prices, returns, issuer’s performance
• Monitor economic, industry and financial market trends
• Assist to manage surplus cash and short-term investments within delegated authority
• Assist in report preparation to Investment Committee
• Provide admin support to Finance Director and/or Investment Manager
• Ensure accurate accounting entries and transactions
• Assist in treasury functions including monitoring Fixed Deposits portfolio

Job Holder Requirements:

• Qualification:Minimum Degree/ Diploma in Accountancy or related

• Supervise and lead a team of staff in the section in handling day-to-day financial matters, month-end and year-end accounts closing, including the preparation and/or review of the monthly, quarterly and year-end audit schedules and financial reporting packages
• Responsible for the good quality of the balance sheet
• Review internal charge and reclassification requests
• Review bank reconciliation and resolve reconciling items
• Review miscellaneous receipts and follow up on unaccounted sums
• Investigate and resolve user’s queries
• Responsible for inter-company and related company’s transactions and balances and resolve reconciling items
• Responsible for GST and other statistical submissions
• Liaise with internal and external auditors on audit matters
• Liaise with tax agent on corporate tax and GST matters
• Work with Grants GL teams to resolve issues
• Lead and participate in process improvement projects

Requirements

• At least a Degree in Accountancy or ACCA equivalent
• At least 3 years of relevant working experience, with 1-year experience in a supervisory position
• Higher qualified/experienced candidates will be considered for the Senior Finance Executive/Accountant position
• IT savvy - proficient in Microsoft Office such as MS Word, Excel and PowerPoint
• Hands-on experience with SAP system will be an advantage
• Prior audit experience will be an advantage
• Strong interpersonal, communication and analytical skills
• Meticulous, motivated, committed, resourceful and able to work independently
