Cost Accounting and Inventory Management

The individual will need to have knowledge of Singapore accounting principles and tax laws. Good interpersonal skills would enable the successful candidate to build relationships within the office and across the firm. You will possess good IT skills including Microsoft Excel and accounting systems (3E is preferred). The successful candidate will liaise with other Hogan Lovells management personnel and international offices as required.

KEY RESPONSIBILITIES

You will be responsible for the accounts payable and general ledger functions for the office. Your main finance responsibilities will include the management or support of:

• Verifiying and processing vendor invoices and staff claim on a daily basis
• Ensuring expenses are duly approved, coded to appropriate GL account codes (including input tax) conforming to firm’s standard
• Ensuring supporting documents are complete and legitimate
• Evaluating all account payable balances and ensure accuracy in general ledgers
• Taking ownership of the assigned payment requests and process payments in accordance with credit terms
• Acting as a point-of-contact for addressing inquires and/or issues on AP and payment procedures.
• Training and guiding internal & external stakeholders on proper AP procedures
• Preparing bank reconciliations and travel agency reconciliation
• Participating in month-end closing process
• Posting month-end journals (include but not limited to fixed assets depreciation, prepayments, bank revaluation and expense reclassification)
• Preparing assigned Balance Sheet schedules (include but not limited to Accounts Payables Aging, Fixed Assets Register and Prepayments)
• Assisting in external audits (include but not limited to preparing audit schedules and liaise with external parties / auditors for yearly audit)
• Preparing Accounts Payables Audit Confirmation responses
• Maintaining petty cash and post petty cash transactions into the financial system
• Providing assistance within the department in the absence of other team members
• Familiarising and complying with the firm's policies and procedures as well as relevant law and requirements applicable to anti-bribery and money laundering to provide support to stakeholders
• Collaborating and developing strong working relationships with members of the Hogan Lovells Finance team regionally to establish financial processes, procedures, controls and reporting for the firm
• Any adhoc duties and projects as required, such as assisting in preparations for the budget

QUALIFICATIONS

As a dedicated and motivated individual with the drive to succeed, you will ideally have the following qualifications and experience required for the position:

• A minimum of 3 years of finance experience
• Accounting qualifications
• Experience in legal firms, professional services environment or partnership model preferred
• Possess strong knowledge of Singapore GST regulations.
• Proficient in MS Office (Word, Excel)
• Strong attention to detail and organisational skills
• Ability to work under time pressure and meet tight deadlines
• A pro-active attitude
• Ability to perform as an effective team player and work independently
• Willing to cover Billings and Accounts Receivables duties

Job Description:

• In charge of the preparation of entities’ monthly, quarterly and annual financial statements in compliance with all regulatory requirements, including SFRS, Corporate tax, Charity and IPC specific reporting obligations
• Ensure accurate and timely delivery of monthly, quarterly and annual financial reports, including the analysis and commentary on major variances
• Provide monthly audit schedules and assist in internal and external audit queries
• In charge for preparation of entities corporate tax (ECI) and work closely with tax agent to file annual corporate tax returns
• Handle all tax queries and tax audit whenever required
• Assist with preparation of transfer pricing documentation
• Support and ensure compliance with all financial filling requirements, corporate tax filling requirement
• Involve in continuous process improvement for more effective and efficient operation
• Assist in new business initiatives and system implementation when required
• Able to work within tight deadlines

Qualifications and requirements:

• Degree in accounting or ACCA and/or its equivalent
• Minimum 2-3 years working experience with full set accounting and preferably with audit/tax background.
• Good working knowledge of SFRS and Singapore tax.
• Well-versed in MS Office, especially MS Excel, Powerpoint, Word and Outlook
• A self-starter who can plan, organize and take initiative to meet job objectives and deadlines independently

Job Responsibilities

· Perform monthly COGS closing and report to Management and HQ on time.

· Conduct COGS analysis (Actual vs Plan vs Standard)

· Support Project Managers in managing planned investment budgets and current budget status.

· Perform monthly/annual P&L Estimation by comparing annual plan and actual performances.

· Establish criteria for analyzing the cost of performance by setting standard material costs and standard processing costs.

· Identify inefficient processes and devise/implement a cost reduction plan through analysis of standard and performance differences.

· Manage production facilities and inventory of production materials, ensuring asset soundness by checking consistency with the actual products.

· Reconcile books with actual objects to prevent cost distortion and conduct regular stock-taking.

· Maintain an appropriate level of inventory/materials.

Job Requirements

· Bachelor's Degree in Accounting or a relevant discipline.

· Total 8 to 10 years of experience in cost accounting (sales cost settlement, inventory asset management, etc.).

· Prior experience in a financial accounting role with knowledge of IFRS/SFRS and its application would be highly advantageous.

· Experience in the manufacturing industry/cost accounting would be beneficial.

· Technical skills in actual cost settlement using the CO module of the SAP system.

· Technical skills in analyzing cost structure and manufacturing costs.

· Understanding of cost accounting and rational allocation of costs.

· Technical skills in analyzing big data using analytical tools such as R, Python, etc.
