Job Description

Our HR & Office Administrator plays a vital role in ensuring operational efficiency, supporting human resources functions, bridging the communication gaps, enhancing employee experience, and facilitating compliance and to achieve the organizational mission, vision and goals. Reporting directly to the General Manager, you will oversee the HR day-to-day functions and foster a positive and productive work environment. You will also be the primary point of contact for office management, employee concerns, operational challenges and initiatives to strengthen the Company’s employer’s branding and future-proof our business.

Job Responsibilities

• Assist with day-to-day operations of the HR and Office functions.
• Maintain and update employee records in accordance with company policies and standards.
• Process documentation and perpare reports related to personnel activities (staffing, recruitment, trainings & evaluations, greievance, performance evaluations etc.)
• Coordinate company and HR events, including townhalls, festive celebrations, engagement activities, training sessions, business trip bookings and surveys.
• Check and process the employees' monthly claims, leaves and payroll by providing relevant data.
• Responsible for Company insurance, license and medical insurance and claims etc.
• Update fair HR policies, ensuring employees understand and adhere to them.
• Liaise with public/labour authorities and agencies regarding surverys, grants and emergencies.
• Handle HR-related feedback, complaints and grievances professionally.
• Perfrom other ad-hoc HR-related tasks and projects as needed.

Recruitment

• Support recruitmenr efforts by collaborating with hiring managers to create JDs, posting job ads, conducting screening calls, scheduling interviews, and managing the onboarding porcess.
• Plan and coordinate internships with the institutions.
• Work with recruiters to source candidates and maintain the candidates' database.

Workplace Management

• Manage all work/office assets and pantry supplies.
• Oversee and ensure the general maintenance and housekeeping of the office premises and equipment.
• Uphold workplace health & safety standards and ensure compliance by all employees.
• Assist with training and certification related to workpleace health and safety as ncessary.

Qualifications

• Candidates must possess at least Min. Diploma in Human Resource Management or equivalent
• Min 2 years of experience in HR and Office administration or similar role
• Experience in managing the recruitment processes will be an added advantage
• Proficient in Microsoft Wroks and Excel and HR Cloud-based systems (Info-Tech)
• Good knowledge of local Employment Act and other employment legislation and regulation
• Independent, pro-active and able to execute tasks within tight deadlines
• Good communication and interpersonal skills
• Work experience in SMEs and / or Fintech industry will be an added advantage

• To perform the full spectrum of coordination and administrative duties, including invoicing, data entry, documents filling, overseeing of goods flow, etc.
• Efficient document management such as printing and filing of the documents
• Assist with day to day operations of the office
• Monitoring of office supplies
• Handle accounts payable function
• Verify and ensure all invoices are recorded accurately
• Process payments to suppliers and handle suppliers’ inquiries for any payment related matters
• Handle petty cash and monthly staff expenses claim
• Perform weekly and monthly payment forecast to support cash flow managemen

5 months Contract-Maternity Cover

(Tentatively: 3rd week Apr - Mid Sept)

Assisting Managing Director in all HR and Office Administration matters including but not limited to:

o Payroll administration and necessary submission of CPF contribution, reliefs or subsidies, whenever applicable.

o HR: Maintain proper records and to administrate employee benefits programmes including annual leave & medical.

o Management and Procurement of Office Equipment, Stationery and Sundry Supplies.

· Overseeing all necessary housekeeping matters of the office.

o Basic Accounting: Assisting Accountant to prepare daily payment to be submitted for approval.

o IT: Provide support for the External IT vendor (when required)

o Any other duties assigned from time to time

· Proficient in MS Office Application and computer skills

· Good spoken and written English skills

· Good time management and committed to task completion within stipulated timeline
