We are seeking a proactive and efficient Legal Secretary to provide comprehensive administrative and secretarial support to our legal team. This role involves drafting and preparing various documents, managing calendars, handling correspondence, and other administrative duties.

Role and Responsibilities

• Provide secretarial and administrative support to the legal team.
• Draft and prepare various documents, including agreements, letters, and other legal documentation.
• Conduct case searches when necessary.
• File documents in the in-house legal platform.
• Assist with drafting, proofreading, marking-up, printing, and scanning of agreements, letters, and documents.
• Review Charterparties, Addendums, Fixing Notes, etc., against fixture recap and proforma CP.
• Update slot declaration lists and declare newly chartered vessels to insurance brokers.
• Communicate with external vendors regarding their matters and enquiries.
• Liaise with insurers for insurance certificates and assist with queries from other departments as required.
• Perform a variety of secretarial duties, including monitoring payment of invoices (insurance premiums, club invoices, legal invoices), handling calls, managing files/documents, monitoring deadlines, scheduling appointments/meetings, managing calendars, and responding to correspondence/emails/faxes.
• Maintain a positive attitude, willingness to learn, meticulous attention to detail, and the ability to multi-task.
• Work independently and as part of a team, with the flexibility to work overtime if required.
• Perform any other tasks assigned by the counsel or manager.

Requirements

• Minimum 1-2 years of experience as a legal secretary or in a related administrative role.

The Company Secretarial Assistant will support the APAC Company Secretary in delivering best practice governance for our APAC entities as well as ensuring compliance with all relevant legislation/regulation. 

The position will require a company secretary with a minimum of 2-3 years experience who will be able to work efficiently in an expanding ambitious company.

Key Responsibilities of the Job:   

• To provide a full governance and secretarial service to the main APAC legal entities with the APAC Company Secretary

• To own a portfolio of APAC legal entities and provide full Company Secretarial support, including minuting of quarterly Board meetings

• Help to design and deliver corporate governance  and company secretarial standards 

• Be involved in governance projects that sit across the Global team

• Interact with stakeholders on all aspects of corporate governance

• Contribute to Legal team strategy and planning

• Be responsible for the APAC entities on Diligent entities and Diligent Boards

[What you will be working on]

You will be responsible for the following:

• Manage and monitor surveillance technology to augment enforcement operations

• Manage vendors and contracts such as raise work orders, manage contract utilisation and upkeep of service and quality standards

• Plan and carry out enforcement operations

• Attend to related enquiries and troubleshooting issues

• Maintain and monitor quality of enforcement engagements

• Any other ad-hoc tasks as assigned

Responsibilities:

• Understand our business and the problems we are trying to tackle, deeply, when it comes to our core security services

• Support the sales and pre-sales teams in responding to customer risk and security questionnaires and queries

• Build customer trust through managing and hosting in-person customer/prospect security meetings

Desired Qualifications

• 12+ years of experience in information security, governance, and compliance.

• Experience with cloud platforms like AWS, GCP, Azure. 

• Understanding the architectural and security nuances.

• Familiarity with one or more security and regulatory frameworks:  NIST 800-53, NIST Cybersecurity Framework, PCI-DSS, ISO 27001, ISO 27017, ISO 27018, CSA, Monetary Authority of Singapore (MAS) Outsourcing Guidelines and TRM, Personal Data Protection laws in Singapore, Malaysia, Thailand, Indonesia, Vietnam etc, BNM Outsourcing guidelines and Risk Management in IT (RMiT) etc. 

• Managed one or more compliance certifications/audits, either as an auditor or responder (FedRAMP, PCI-DSS, ISO27001, SOC-1/2, IRAP/ISMS, MTCS, etc.)

• Experience with completing customer security/compliance questionnaires

• Experience interpreting the intent of specific customer questions, and mapping them to industry standard controls

• Familiarity with public cloud architectures, security practices and compliance documentation

• Experience working in the Financial Services, Insurance, Banking, Superannuation, Telecommunication services industry
