Vendor and Client Management

• Proactively engage stakeholders to ensure that on site client’s expectations are met
• Build and develop effective client / stakeholder relationships across multiple levels of the Client’s organization
• Achieve Key Performance Indicators and Service Level Agreement target

Operations

Be flexible and take on operations and facilities management projects when procurement projects are not underway. Brief scope of facilities management is provided as below

• On-site point of contact for Facilities in the client’s premises
• Implement building procedures and performance measures and ensure they are maintained at all times
• Ensure all Critical Environment (CEM) requirements are met
• Review existing operations regularly to reduce costs and improve operational standards
• Ensure a property risk management program including audits is implemented and maintained
• Ensure disaster recovering and business continuity plans are implemented and maintained
• Ensure escalation procedures and incident reporting procedures are implemented and in place
• Has a customer service oriented attitude
• Ensure feedback are actioned to the satisfaction of the end user.
• Pro-actively manage Clients ‘expectations ensuring that the service levels are maintained.
• Conduct instructional briefings on inspection of premises to appointed contractor
• Prepare budgets for services under Workplace and Soft services
• Track and ensure timely work execution by appointed contractor to housekeep/maintain meeting rooms, social hubs and in-door plants
• Develop and monitoring of the Planned Preventative Maintenance programme
• Ensure all Reactive Maintenance is completed as per the agreed timeframes
• Carry out and support annual building power shutdown maintenance program
• Assist to coordinate with Fire Safety Manager to carry out building fire warden briefing and evacuation exercise
• Ensure building are maintenance standard meet authority requirement
• Assist the Management Team with the coordination of Churn and other relocations activities as required
• Assist in the implementation and monitoring of guidelines and strategies to protect health and safety of staff and others, protect Client and Jones Lang LaSalle reputations. Report any issues or concerns back to Senior Management
• Follow established escalation procedures and incident reporting procedures, management and recovery

To be responsible for the maintenance and repair of the commotion office, equipment, building, fixtures, and facilities, execution for preventive maintenance, to help the Maintenance supervisor in the day-to-day operation of the Maintenance Department and to perform all preventive, breakdown maintenance, and repair of all M&E services and building works.

Responsibilities:

• Performs repairs and preventative maintenance work to ensure the commotion office maintenance quality standards are achieved and maintained
• Maintain records of maintenance activities in the appropriate logs. To conduct regular electrical regular maintenance and repairs.
• Performs inspections and routine maintenance
• To repair all defects in commotion office and able to identify deficiencies.
• Liaise with the vendor for the schedule arrangement.

Job Summary:

· Provide administrative support for the operation of the department and assists the FM Operations Director in a variety of administrative matters.

· Support FM sites and HQ staff
- Printing of name cards
- Staff Expense claims to be approved and submit to Finance for reimbursement
- Follow with staff to submit their leave application
- Updating site contact list

· Arranges monthly departmental meeting

· Maintain records and reports necessary to comply with Company, government, and accrediting agency standards, regulations, and codes.

· Maintains confidential records.

· Liaison and point of contact with the Purchasing, Finance, Human Resources departments.

· Liaising with on-site management teams, eliciting their cooperation or informing them of developments.

· Assist in the monthly/quarterly/year-end reporting to ensure promptness, accuracy and integrity of results at the unit and department level.

· Communicate status, work activities, and potential problem reports to director, managers, team members, and others.

· Manage, tracking and reporting of ongoing activities such as of account receivables, accounts payables, client’s job/work requests, invoices, GRRs, purchase orders, vendor’s tax invoices, inventory, etc.

· To play a key support role in the delivery of client projects, including client liaison, contact with internal resource departments and external suppliers, and administrative work.

· To effectively manage suppliers to ensure the highest quality is delivered and the best price negotiated. This includes dealing with Landlord on any Facility related matter.

· Ensure compliance to Safety, Health & Environment Procedures and Reporting.
