Job Description

• Responsible for the financial operations within the ASEAN & Oceania Region.
• Lead and direct the development and execution of the Region’s financial strategy and plans in alignment with the Organization’s objectives and regional business goals.
• Oversee the financial & accounting systems, controls, standards, and related matters, ensuring compliance with the relevant financial regulations and corporate standards.
• Provide strategic and actionable insights and work closely with the Regional CEO and other key executives to drive business growth, profitability, and operational efficiency, while maintaining strong financial discipline across all business operations in the Region.
• In charge of Corporate Strategy, including the Legal & Compliance function to safeguard the Organization's legal standing and reputation while driving compliance and risk management across the business, as well as the Corporate Governance function to ensure the Organization operates with transparency, accountability, and integrity, and maintaining robust governance structures, within the ASEAN & Oceania Region.

Job Requirements

• At least 15-20 years of experience in finance, with a significant portion in senior leadership roles, including experience as a CFO, Finance Director, or similar.
• Proven experience in managing financial operations/processes across a large, geographically diverse region, and in driving organizational improvements.
• Experience working in a Multinational Organization, with a deep understanding of regional financial, regulatory, and tax requirements.
• Strong Leadership skills and Strategic & Business Acumen.
• Strong technical financial and analytical expertise, as well as excellent Communication and Interpersonal skills to communicate effectively across all levels of the Organization.
• Proficient in Japanese Language to liaise with Japanese Management and Japan Head Office.

Main Responsibilities:

End to End Forecasting and Reporting Process

• Assist the Senior Manager – Controlling with the monthly Financial Planning Process from top line to bottom line, including coordination with relevant stakeholders.
• Prepare monthly financial reports including business commentaries and variance analysis for review.
• Calculate SKU profitability and ensure that the relevant file is updated promptly.
• Submit financial data into the Internal Planning System and prepare report package for key meetings.
• Liaise with the Global Finance Team on Reporting Instructions and Forecasting Assumptions.

Control and Risk Management

• Review the coding of invoices to be paid before approval by the authorized personnel and reconcile accounts receivable/payable.
• Manage vendor master data within SAP.
• Check and maintain distributor price in SAP.
• Create purchase order (PO) of fixed assets and manage all fixed assets for the APAC Office.
• Assist the Senior Manager – Controlling with coordinating the annual external audit process for the APAC Office with key stakeholders.
• Make recommendations to resolve control gaps identified during the global internal audit.

Skills and Qualifications:

• Bachelor's degree, preferably with a major in Finance or Economics
• Fresh graduates with strong analytical and data sense are welcome to apply
• Proven proficiency in handling Excel spreadsheets
• Effective communication and stakeholder management skills

Job scope

• Responsible for VIVA’s finance, accounting and office operations
• Responsible for Volunteers and Donors’ management
• Tracking of budgets with variance analysis on a periodic basis
• Responsible for Annual Report and filing of financial statements and annual returns
• Liaise with Auditors and perform accounts review management
• Maintain, monitor, manage and invest cash in the banks .
• Management of petty cash
• Fundraising/Sponsorship /Grant and Subsidy application and administration or management
• Responsible for statutory and regulatory reporting, compliance, filings and applications for permits, licenses and approvals
• Regulate and attend to technical accounting issues for compliance and good governance
• Review contracts for supply of tech and IT website and services
• Apply for renewal of and maintain the IPC and charity status of VIVA
• Responsible for HR, including recruitment, payroll , leave administration and management , staff welfare (including insurance ) and training programmes, periodic appraisals

Your profile includes:

• ACCA, Degree in Accounting, finance or equivalent
• 5-8 years relevant experience with a well-established accounting firm would be an advantage
• Excellent MS Excel knowledge
• Good commercial acumen
• Analytical mindset
• Excellent English
• Excellent communication and interpersonal skills would also be essential to succeed in the role.
