Covers contract administration, ensuring contract documentation and operational processes are functioning in line with operational plan and business policy, which includes:

• Support the Head of Section (HOS) in the management and administration department staff to achieve its objective.
• Dissemination and enforcement of Company’s policy, procurement policies and procedures to Buyers and O&M departments
• Assists HOS in procurement activities for new projects
• Manage and administer all contacts and purchase orders required
• Manage and administer organization long term and spot fuel contracts and orders
• Work closely with O&M departments, buyers and other organization's entities for tender and contract activities.
• Ensure proper execution of contracts and compliance to SOX requirement
• Manage vendor master (including vendor creation and vendor qualification) in SAP MM and SAP B1
• Conduct vendor performance reviews once a year for small purchases and after contracts.

Requirements:

• Diploma in any discipline with min 2-3 years of procurement experience
• Experience and knowledge in tendering and procurement processes
• Ability to multitask, prioritize and manage time efficiently
• Hands on in Microsoft Words, Excel and business software like SAP

Job Responsibilities:

• Maintain the purchasing systems (Nautical Solution and Xero) for all materials and services requisitions, and purchase orders
• Acquisition of vessel equipment, spare parts, hardware and consumables as per “Purchasing Requisition” details generated by vessel crew and onshore company personnel
• Procurement of specialty contractor services as per “Work Requisition” details generated by vessel crew and onshore company personnel
• Sourcing and identification of potential service providers
• Maintenance of service providers’ database
• Managing the relationship with a wide range of suppliers and external service providers
• Provide all necessary reports and communication to ships and operational personnel as required this includes both incoming and outgoing
• Liaise with operations management in relation to purchasing requests and keep them informed on technical details, price and availability
• Contribute to cost reduction by ensuring minimum delays in providing essential items
• Other duties as directed by the Purchasing Manager or General Manager Operations

Job Requirements:

• Qualification: Minimum Diploma
• Proficient in MS Office
• High volume data processing experience
• Minimum of 2 years working in a similar role in a multi companies’ environment
• Knowledge and exposure to the Oil and Gas Industry in particular the marine environment preferred
