Job Description

Manage full spectrum of purchasing process (sourcing, quotation, negotiation, document filing and following up on the delivery schedules, etc).

Ensure sufficiency of stock by monitoring and replenishment to fulfil requisition of the respective staff, and job sites.

Track orders and ensure timely delivery of goods, receiving, issuing and distribution to respective staff, or job sites.

Maintain records of purchases, quantity, pricing, and other important data.

Perform other required duties / general administration work or task when assigned.

Compile requests for materials, prepare purchase orders, keep track of purchases and supplies, and handle inquiries about orders.

Buying supplies and materials directly from suppliers / vendors

Inventory monitoring

Job Requirement

Good working attitude, self-motivated and able to work independently.

Good communication skills. Purchasing clerk required to liaise with Chinese suppliers. Knowledge of Mandarin is essential.

Able to multitask and hardworking.

• Experience in the construction industry required.

Responsible of prompt submission of tender documents

· Reviewing tender specification and pricing

· Prepare quotation accordingly and access variation order if required

· Handle the take-off of quantities of materials, obtain quotations from relevant suppliers and subcontractors.

· Liaise with Operation Manager to ensure that Customer requirement are clearly defined and agreed with regards to product cost, product quality and delivery times

· Evaluation of company’s capability to fulfil contract requirements with Managing Director.

· Follow up Work Orders with respective customers

· Prepare Work Done report and submit to Yard/Owner for signature

· Submission of necessary documents for Invoicing

· Purchase materials requested through Purchase Request (PR) forms

· Source and manage materials and vendors

· Price monitoring and negotiation

· Project material budgeting, reduce material cost to the lowest

· Check for existing stock with store/warehouse before purchasing new

· Ensure purchases meets requirement

· Generate and issue Purchase Order (PO) for and upon approval

· Consolidate purchases (for all on-going projects)

· Ensure purchases meet targeted delivery schedule, keep all stakeholders informed of any changes or delay (for purchased materials)

· Discuss with engineering, production and site teams on ways to reduce material wastages

· All purchases shall be performed with due diligence to minimize material cost and maximize profit

· Arrange with forwarders and suppliers on incoming shipments

· Plan and stagger material deliveries

· Generate and manage Goods Receipt Notes (GRN) and invoices for Accounts department

· Maintain good documentation and filing system

· Evaluate new and re-evaluates current supplier

Position Summary:

Primary responsibilities are to ensure security and accuracy of inventory control by overseeing movement to and from the stockroom and all inventory transactions. Accountable for accurate, detailed, current inventory for raw material, WIP and finished goods.

Position Responsibilities:

• Ensure accurate and timely transactions of inventory· transactions from the stock room to the shop floor (Oligos, Arrays, Reagents and Instruments) and laboratories, material scrap, issues to departments and production orders
• Ensure cycle counts are performed according to procedures. Coordinate counts with departments accountable for inventory. Verify clerical computations against physical count of stock and adjust errors or investigate and report reasons for discrepancies. Generate variance reports for review by Materials Management and Finance as required
• Coordinate internal issues and shipments with Planning and Shipping
• Troubleshoot and resolve data entry errors and discrepancies
• Coordinate inventory issues with all respective departments
• Generate and distribute all daily/weekly inventory reports (cycle count, scrap, inventory valuation, inventory turns etc.)
• Any other activities as assigned by supervisor

Position Requirements:

• Must have a thorough knowledge of inventory management, production control, planning engineering change control, and nonconformance
• Knowledge of Microsoft Excel and Outlook required. Example: vlookup function, if function, pivot tables and charts
• Familiar with cGMP’s, SOX regulatory
• Effective verbal and written communication
• Well organized and detail oriented

Preferred Experience/Education/Skills:

• Typically requires a Bachelor’s degree and a minimum of 2 years of related experience; or an advanced degree without experience; or equivalent work experience
• Knowledge of ERP/MRP systems (SAP preferred), word processing software, and inventory control procedures, etc
• Basic knowledge in VBA macros preferred
