As a Procurement Intern, you are to drive innovation thru automation within procurement process. Ideally, candidate should strong logical process flow, with know-hows on macro programming. Candidate should have strong interest on driving process excellence in our Tuas site. Strong in Microsoft and/or open coding knowledge. In this role, a typical day will include:

· Automate data-extraction and/or analysis for site spend review(s)

· Automated existing routine reports such as

o PO Aging report (to identify the at-risk orders that are “aged” beyond the expected service/goods delivery time

o PPV (Purchasing Price Variance) (to measure on periodic basis, the variance of what we are purchasing against what we project to purchase at)

o Periodic extraction of latest approved vendor to place it on Cloud

o Periodic update of procurement into a standard template which then be further uploaded into global system (SNOW – Service NOW system)

· Supplier Onboarding process: Automate site supplier onboarding form, subsequently process to include direct link/follow-up with global system

· Create / Manage / Automate portal for procurement information for site

· Harmonize site sourcing efforts in a synchronized process which would also tie in to cost impact analysis (savings and/or cost increase). May include step automation

· Build fraud-detection possibility (based on procurement process guard rails) of at-risk orders that requires manual oversight and/or review

Job Purpose

This position is the system administrator of Ship Manager ERP system (smart PAL) purchase software used by various type of vessels.

To support user through developing functionality with software vendor, resolving the issue and standardize the procedure.

To implement purchase system to new ship managers though facilitation of gap analysis, preparation of use manual and conducing end-user training.

Job Description

Operational Responsibilities

SmartPAL Purchase module system administration

- Understand full functionality of purchase module.

- Follow up on purchase module issue and take initiative to resolve.

- Collect feedback from users and plan for future development of new functionality.

- Conduct User Acceptance Test of new functionality to deployment

- Monitor vendor’s work progress for development and issue fix and follow up whenever necessary.

- Budget and Actual management of new functionality development

- Create operation manual for end-user.

Implementation of Purchase Module

- Support implementation purchase module to new ship manager including conducting gap-analysis, prioritization of function development and User Acceptance Test coordination. Need to collaborate with various stakeholders to establish a implementation plan.

- Support implementation of mobile application of purchase module for onboard crew members.

Procurement strategy building

- Manage and create purchase related BI report based on the system date.

- Gathering the insight from BI report and prepare procurement strategy.

Job Requirement

Experience: At least 1 years of working experience in the purchase department (international procurement).

IT Skills: Proficiency in IT tools such as Microsoft Excel, Word, PowerPoint, Outlook, and Business Intelligence (BI) tools.

Soft Skills: Good organizational and communication skills, a positive attitude, self-motivated, detail-oriented, and a team player. Project Management and problem solving skill.

Documentation Skill: Excellent and speedy documentation skills.

Negotiation Skill: Better have negotiation skills, but attitude of having dialogue with various stakeholders is important. Need to take a lead of discussion among stakeholders.

[What you will be working on]

As an intern, you will be required to:

[What you will be working on]

As our Intern, you will be required to/your deliverables are:

• Process payments to suppliers and reimbursement to staff involved in overseas operations.

• Monitoring accounts receivables, fixed assets, and bank accounts at overseas centres.

• Review, assess and provide recommendations for the assigned area within the overseas operations system and business process review project. For example, an Intern may be assigned to review the current process from procurement to payment for EDB overseas leases that fall under FRS116.

Learning outcomes and other experiences available to the intern as part of the internship:

• Gain insights into overseas operations procurement and finance management

• Gain familiarity with SAP Concur and Workday

• Gain experience with system and workflow re-design project and project management skills.
