Job Summary: We are seeking an organized and detail-oriented Sales and Office Administrator to support our operations. This role involves managing day-to-day office functions, managing customer inquiries, processing orders, and ensuring smooth administrative processes.

Key Responsibilities:

• Assist in daily operations and e-commerce fulfillment.
• Facilitate the order process from start to end (Order processing, invoicing, and completion)
• Respond to customer inquiries, providing timely and accurate information

• Liaise with the Warehouse Team on stock inventory when necessary.
• Execute general administrative duties, filing, and scanning daily basis.
• Provide administrative support to office and team as required in a timely, proactive, and diligent manner.

JOB DESCRIPTION

Production, Procurement (local/affiliate), Material Store, Logistic, Account, External supplier and other related personnel.

POSITION PROFILE:

KEY DUTIES & RESPONSIBILITIES:
Centralize Processing / Indirect Material Administration

• To responsible for the smooth operation for processing material (planning, ordering, receiving, SNP arrangement)

• To monitor the Material system to make sure the material supply smoothly to Production Material resale and recycle arrangement (affiliate factory)

Waste disposal Administration

• To follow-up Cleanroom uniform ordering, stock control, laundry and distribution for SP5150

Cleanroom uniform Administration

• To follow-up weekly waste collection progress (coordinate with external waste vendor and arrange with Production)

General support Administration

• Printer set-up base on individual application (A2, B4 office)

• To prepare training room set-up and handover

• Ad-hoc jobs as assigned by superior

Cleaning staff needed at a warehouse and production facility. Main tasks are to clean the admin and production offices including of work spaces, meeting rooms, communal area, pantry and toilets.

• Advising customers in regard to all inquiries relating to RSG's product range.
• Interpreting, clarifying and realizing basic customer specifications for offers and orders
• Set up and monitor customer terms in regards to pricing (price agreements, contracts etc.), delivery terms and payment conditions in coordination with the relevant Sales representative.
• Support the Sales Team by subsequent follow-up of offers and outstanding payments.
• Entering customer orders for internal processing and planning. Coordinating, scheduling and monitoring of progress during processing / implementation.
• Assisting with and monitoring delivery and invoicing in coordination with Export department (esp. in regards to sensible countries, Letter of Credit transactions) and in contact to his / her designated customers.
• Providing commercial support and after-sales services to designated customers and subsidiaries.
• Noting, filing and update-initiating of customer relevant data (contact info, specific price agreements, delivery and payment terms, special transport notes etc.) in the ERP system and share files.
• Issuance of Purchase orders
• Follow up and monitor closely with suppliers' delivery schedule to confirm compliance with order confirmation
• Monitor stock levels and conduct monthly inventory meetings

Job Requirements

• Min "O" Level/Higher NITEC/Diploma with minimum 2 years of relevant experience

• Manage inter-department workflows mainly Sales support activities.
