Job Description
The Sales Administrator plays a crucial role in supporting the sales team and ensuring the smooth operation of sales activities. This position involves a combination of administrative tasks, customer interaction and data management to help drive the sales department success.
Key Responsibilities
Assist the sales team throughout the entire sales cycle by providing Sales Administrative support.
1. Data Entry and Management
• Maintain and update customer database, sales records including contact information and sales activities in the inventory system.
• Accurately input sales orders, customer information, and product details.
• Maintain incoming and outgoing inventory in the system.
2. Customer Support
• Assist customers with inquiries, orders, and requests for information and assistance.
• Handle customer feedbacks and issues professionally and ensuring timely resolution.
• Ensure a high level of customer satisfaction by addressing customer needs promptly and professionally.
3. Sales Support
• Collaborate with the sales team to ensure smooth sales processes and assist in achieving sales targets.
• Coordinate sales meetings, conferences, and events as needed.
• Assist in creating and distributing sales and marketing materials.
4. Order Processing
• Process sales orders, verify pricing and product availability, and coordinate order fulfilment.
• Track and monitor order status, ensuring on-time delivery to customers.
• Collaborate with shipping and logistics teams to facilitate smooth order shipments.
5. Inventory Management
• Monitor and track inventory levels to ensure product availability for customers.
• Coordinate with the logistics or supply chain team to manage stock levels effectively.
6. Administrative Tasks
• Handle general administrative duties such as filing, organizing files, and managing office supplies.
• Prepare and distribute sales-related documents and reports to internal teams and external clients.
• Perform office daily administrative works.
Qualifications and Requirements
• Diploma (in Business or related field may be preferred) or Minimum 4 years in related roles.
• Proven experience in sales administration or a similar role.
• Proficiency in using Microsoft Office Suite (Excel, Word, PowerPoint), and other relevant tools.
• Strong organizational and time management skills.
• Excellent communication and interpersonal skills.
• Attention to detail and accuracy in data entry and record-keeping.
• Ability to work effectively in a fast-paced and team-oriented environment.
