A*STAR is spearheading a series of Strategic Research & Translational Thrust (SRTT) that harnesses its multidisciplinary expertise to undertake a focused research mission. Operating as a cross-A*STAR initiative, SRTTs are geared at delivering impact and outcomes in specific thematic areas. Led by the A*STAR Research Office (RO), SRTTs will be actively managed where the SRTT Programme Directors and research team members will be provided dedicated central support.

Roles and Responsibilities:

Reporting to the SRTT Director Corporate Services (DCS) to support the RO and SRTTs administrative activities, the role includes but not limited to:

1. General Administrative Support:

• Provide day-to-day administrative support.
• Handle correspondence, prepare documents, and manage office communications.
• Handle Procurement / Finance related matters, e.g., Raise budget memo for approval, raise purchase requests, goods receiving etc.
• Perform filing, data entry, and maintenance of office records.
• Any other administrative duties assigned.

2. Calendar Scheduling:

• Manage and coordinate calendars for RO, SRTT CIA and SRTT Central Initiative Directorates (CID) based on event requirements.

• Resolve scheduling conflicts and ensure timely reminders.

3. Travel Arrangements and Booking:

• Book flights, accommodations, transportation, and other travel-related services for work trips for visiting scientists, Advisory board members, senior management and staff.

4. Event Organization and Logistic Support:

• Support in the planning and organization of events, meetings, and conferences for all RO and SRTT activities.
• Provide logistic support for events, including registration and ushering.
• Coordinate the setup of event venues, manage attendee lists, and any other required tasks to ensure a smooth flow of activities.

Job Requirements:

• Degree, any discipline with at least 5 years of professional experience in an administrative or office management role.
• Able to leverage on digital dashboards for monitoring and tracking (Power BI, tableau etc.) will be a plus.

• Possess 3 years or more of working experience in quality assurance and regulatory affairs in medical devices; thorough working knowledge of ISO 13485:2016.
• Good working knowledge in managing QMS in a medical device environment in compliance to ISO 13485:2016.

• Working knowledge in QA processes for design, development and manufacturing of IVD, SaMD and Integrated Medical Technologies.
• Demonstrated skills in risk management (ISO 14971).

A*STAR is spearheading a series of Strategic Research & Translational Thrusts (SRTT) that harnesses its multidisciplinary expertise to undertake a focused research mission. Operating as a cross-A*STAR initiative, SRTTs are geared at delivering impact and outcomes in specific thematic areas. Led by the A*STAR Research Office (RO), SRTTs will be actively managed where the SRTT Programme Directors and research team members will be provided dedicated central support. Under the newly established Central Initiative Administration (CIA), A*STAR is recruiting a Manager/Senior Manager/Assistant Director for SRTT Programme Research Administration and Operations.

Responsibilities & Duties

• Support the overall administration, office management and operations of SRTTs, including research admin support (e.g., support Project Investigators (PI) in grant administration and reporting, ethics review, research software support, scientific advisory panel meeting logistics, etc.)
• Provide corporate and business service support to SRTTs, working with Corporate Group (CG) and Space, Infrastructure and Admin (SpIA) Partners and Research Institute (RI) admin teams.
• Craft, review, and implement business process workflows to achieve efficiency and optimization.
• Work with the Central Initiative Directorate (CID) team to manage and track the operating budget for supporting the SRTTs; this includes costs of SRTT staff training, development and engagement, engaging experts / advisors, CG support, and other costs that may not be directly attributed to specific SRTTs.
• Work closely with RO and other relevant stakeholders to formulate, communicate, and implement administrative policies and procedures, adhering to relevant A*STAR policies and guidelines.
• Onboard new staff and students, including visiting scientists/professors.
• Plan and prioritize to cater to the different needs of SRTTs.

Requirements:

• Preferably possess a BSc or BA in a scientific discipline.
• Minimum 5 or more years of experience in research administration and operations preferred.
• Strong analytical and system thinking abilities, and good project management skills.
• Good communication and presentation skills (both written and oral).
• Ability to build relationship and work across different functions and departments.
• Proficiency in data analytics is a bonus.

We are looking to hire a highly motivated, experienced, Project Manager for the National Platform - Multi User Wafer Fab (MUWF).

Competencies

• Experienced in semiconductor fab infrastructure construction and outfitting projects
• At least 5 years of relevant experience as Project Manager.
• Good understanding of semiconductor fabrication processes, cleanroom standards, and equipment, including HVAC, electrical, and plumbing systems tailored for Fab environments.
• Strong written and verbal communication skills to convey project plan, progress and issues clearly to various stakeholders.
• Ability to work as a team various departments and stakeholders to achieve goals including providing guidance to external contractors.
• Knowledge of quality standards and practices to ensure that project meet required specifications.
• PMP (Project Management Professional) & LEED Certification will be an advantage

Responsibilities:

• To work with user stakeholders and ensure that their requirements for the cleanroom infrastructure are communicated timely to JTC, consultant and contractors
• To attend all designated project meetings with JTC, consultant and contractors to represent users’ interests and ensure ASTAR requirements are taken into consideration.
• To coordinate with ASTAR internal groups and be the interface with JTC, consultant and contractors for project related matters resolution including recording of all assets
• To manage the project with JTC, consultant and contractors to ensure fitting out progress according to agreed timeline and to escalate to management any significant delays.
• Close liaison with JTC and its consultant and contractors on tools (equipment) installation, supervise and coordinate the activities of the user stakeholders’ vendors and contractors.
• To ensure commissioning, certification, and validation processes for cleanrooms are completed by JTC and its consultant and contractors to ASTAR’s satisfaction.
• To conduct inspections of ASTAR tenanted areas with JTC, consultant, contractors to identify defects and see through till rectification before takeover of the facilities.
