Job Responsibilities:

• Maintain employee records such as the personal files, etc. and ensures that such records are kept up-to-date. Prepare documents for new employees.
• Monitor due dates for confirmation, retirement, medical checkup, etc. and sends reminders as appropriate.
• Answer queries from employees regarding leave entitlement, rates of pay, company doctor’s procedures and other personnel related matters.
• Assist in other specific areas such as administration of medical insurance claims, application for work permits and employment passes, etc.
• Salary Administration - Calculate employees’ salaries including any overtime pay, deductions and accurately process monthly payroll.
• Provide information on employees’ salaries and labour costs as and when required.
• Complete and submit appropriate forms to external agencies such as CPF Board, Income Tax Department, SDF, Mindef, etc.
• Answers questionnaire forms on salaries and other personnel-related matters sent to company by government agencies (e.g. Ministry of Manpower) and other organisations.
• Other adhoc assignments

Job Requirements:

• Minimum O Level
• Microsoft Office (especially Excel) skill required.
• Office 365 and Power Platform knowledge is an advantage
• Language: English, Mandarin
• Report writing competency

Job Description

• Oversee comprehensive administrative duties, including but not limited to:
• Managing office supplies, pantry, and sanitary provisions, etc.
• Coordinating with external vendors such as security, cleaning, transport, and other service providers, supervising their duties, and renewing contracts as necessary
• Handling reception duties for office guests
• Budgeting and monitoring administrative expenses to ensure they remain within budget and processing payments promptly
• Renewing required government licenses for respective departments and individuals
• Managing Jurong Island Visitor Pass applications for HQ visitors, clients, or other guests
• Maintaining an efficient filing system for all office administrative documents
• Keeping a database of contacts and email lists updated
• Preparing Purchase Orders
• Issuing items to new staff, such as ID tags, lockers, uniforms, computers, and work desk arrangements
• Managing the company's Corppass account
• Providing support for company-related events and handling ad-hoc assignments/tasks as needed

Requirements

• Must possess at least a Diploma or an equivalent qualification
• At least 5 years of comprehensive Admin/General Affairs experience; supervisory experience is advantageous
• Proficiency in MS Office (Word & Excel)
• Able to communicate and build good relationship with both internal and external stakeholders
• Able to work under pressure with the ability to prioritize tasks effectively
• Working experience in Manufacturing, especially Chemical manufacturing is advantageous
• Proficiency in Japanese to communicate with Japanese employees is advantageous

Be part of a Chemical MNC HR team where you will support the HR Department on effective delivery of HR operations to the business.

• Prepare letters/contracts pertaining to employee’s appointment, resignation, confirmation, promotion, transfer and other HR related letters
• Handle MOM Work Pass related matters including Work Pass application, renewal and cancellation and update of foreign workers’ particulars
• Assist in staff on-boarding & off-boarding and conduct exit interview and clearance
• Update and maintain employees’ data in HR system and filing of P-files
• Handle E-attendance & E-leave in the HR system
• Prepare and submit MOM & other statutory board HR-related surveys
• Handle staff welfares and benefits administration
• Assist in coordinating and administrating staff learning and development
• Provide response to employee’s enquires on HR-related matters
• Organize and coordinate company events and employee engagement activities
• Provide support on HR initiatives and in any HR project implementation assigned by HR manager
• Provide office administrative support as well as other duties and projects, as assigned.

Requirement:

• Degree or Diploma holder
• 2-3 yrs of relevant HR Admin experience
• Ok to be based in the West of Singapore
• Organise and meticulous with work
