We are committed to providing our global clients with high-quality products and exceptional service. We are currently seeking a skilled Export Documentation Specialist to join our team in Singapore.
Job Summary: As an Export Documentation Specialist, you will manage all aspects of export documentation and ensure compliance with international trade regulations. Your primary focus will be accurately preparing and processing export documentation, coordinating with various stakeholders, and facilitating smooth international shipments. Your attention to detail, strong organizational skills, knowledge of global trade regulations, and proficiency in SAP and MS Dynamics will be crucial to succeeding in this role.
What you'll do:
- Prepare and review export documentation, including commercial invoices, packing lists, bills of lading, certificates of origin, customs declarations, and any other required documentation.
- Ensure compliance with international trade regulations, customs requirements, and specific country regulations for each shipment.
- Utilize SAP and MS Dynamics systems to manage export documentation processes efficiently and accurately.
- Coordinate and communicate with internal teams, suppliers, freight forwarders, and customs brokers to obtain necessary documentation and ensure accurate and timely shipments.
- Verify the accuracy of shipping details, such as product quantities, weights, and measurements, to ensure compliance with customer requirements and international shipping standards.
- Stay up-to-date with changes in export regulations and trade compliance requirements to ensure adherence to all applicable laws and regulations.
- Collaborate with the logistics team to arrange transportation and monitor shipment status, ensuring timely delivery and resolving any issues or delays.
- Maintained organized records and documentation for auditing purposes and provided necessary reports to management as required.
- Assist with any special projects related to export documentation or process improvement initiatives as assigned.
What we look for in you!
- Bachelor's degree in international trade, logistics, or a related field is preferred.
- Proven experience in export documentation management, preferably in the food industry or consumer packaged goods (CPG) sector.
- Strong knowledge of international trade regulations, customs procedures, and documentation requirements.
- Proficiency in SAP and MS Dynamics for export documentation management is crucial.
- Familiarity with Incoterms, Harmonized System (HS) codes, and other trade-related terms.
- Excellent attention to detail and organizational skills to ensure accuracy and compliance with documentation.
- Effective communication and interpersonal skills to collaborate with internal and external stakeholders.
- Ability to work under pressure, manage multiple tasks simultaneously, and meet strict deadlines.
- Strong problem-solving skills and the ability to resolve export documentation and shipment process issues.
- Familiarity with Singaporean export regulations and procedures is highly desirable.
