Duties & Responsibilities:

• Oversee all administrative tasks to ensure smooth office operations
• Provide administrative support to all departments
• Obtain quotations for vehicle insurance and facilitate renewal of road tax, insurance bonds (for QC application) and other insurances related to projects
• Assist in organizing internal festive celebrations and office events
• Take minutes for meetings held by the admin department
• Assist the HR department with human resources tasks
• Assist in basic IT matters
• Perform other ad hoc duties as assigned

Requirements:

• Minimum 2 years of office administration experience.

· Regularly monitor and maintain hardware, software, networks, and servers to ensure optimal performance and security;

· Implement security measures such as firewalls, antivirus software, and intrusion detection systems to safeguard against cyber threats;

· Stay updated on the latest security patches and updates for all systems and applications;

· Serve as the first point of contact for troubleshooting system and network issues;

· Diagnose problems, provide technical support, and resolve hardware or software faults promptly to minimize downtime;

· Configure and maintain virtual private networks (VPNs) and virtual LANs (VLANs) to facilitate secure remote access and network segmentation;

· Conduct thorough research to identify software solutions that align with the company's requirements and objectives;

· Develop comprehensive IT policies and guidelines covering areas such as security protocols, equipment procurement, and replacement procedures;

· Set up and implement backup plans and business continuity plans for system applications and stored information;

· Conduct scheduled maintenance checks on equipment to avoid any undetected faults and unauthorized installations by any staff;

· Maintain proper documentation of licenses, hardware and software inventories and ensure that records are up to date and properly presented;

· Prepare variation orders, progress payments & claims, and finalisation of accounts

· Source for quotations from specialists, sub-contractors and suppliers

· Take charge of procurement, including compiling of quotations and negotiation with contractors

· Perform cost control to ensure spending is within the budget

· Review and advise Project Manager on the cost impact for variation of project specifications

· Monitor project delivery to ensure materials are in accordance to contractual terms and conditions

· Attend to site visits and clarification meetings

· Handle other duties as required

· Any other QS, Tender & Contract roles & responsibilities other than above

• To conduct project feasibility studies, market research and make presentations on development concepts and preliminary programmes;
• To plan, oversee, coordinate and manage Project Consultants, Main contractors, Sub-contractors and others to complete development projects with a great sense of responsibility and within the stipulated timelines;
• To prepare and manage project schedule and budgets, expenses and control of property development projects from preliminary stage to project completion;
• To assist in the selection of contractors and suppliers for projects and evaluate tenders;
• To monitor the work progresses and operations including quality control, safety issues and etc;
• To liaise with relevant authorities/agencies in resolving project development and technical issues;
• To perform defects management and coordinate with Project Team/Main contracts on defects rectifications works during Defect Liability Period;
• To conduct pre-inspection of completed units before TOP/handing over units to purchasers;
• To handle incoming calls and attend to customer enquiries/complaints/feedbacks;
• To ensure defects rectification works and installations are attended to properly;
• To ensure all systems and processes are in compliance with regulatory requirements;

Requirements:

• Diploma or Degree in Civil / Construction Management / Building / Real Estate Management/ Structural / M&E Engineering;
• Must have at least 5 years of experience in Singapore residential/commercial/ Industrial project;
• Knowledgeable in MS Office, MS Project & AutoCAD;
• Knowledgeable in structural works;
• Able to work independent with minimum supervision and with excellent; interpersonal, communication and writing skills;
• With Strong analytical and problem-solving skills and with the ability to work under deadlines in a fast-paced environment.
