Role Overview:

As a Finance Senior Executive, you will be responsible for the full spectrum of financial accounting in accordance with statutory requirements. You will provide accurate and data-based information on companys profitability, solvency, stability and liquidity to help the company make well-informed decisions and monitor financial movements.

Responsibilities & Duties:

• Manage all aspects of the financial accounting cycle, including but not limited to bank reconciliations, A/R and A/P transactions, general ledger, as well as inter-company accounting and reconciliations.
• Perform weekly retail receipt reconciliations and follow up with the relevant store in-charge regarding any open invoices to ensure timely resolution.
• Own the preparation of journal entries, balance sheet reconciliations, and supporting analysis as a key participant in the financial close process.
• Ensure timely and accurate closing of finance and accounting activities - monthly, quarterly and annually.
• Full financial reporting, including preparing key reports; variance analysis (by product/category, by business unit); updating financial scorecards; rolling forecasts; other in-depth analysis of the financial performance.
• Update and track cash flow weekly, comparing actual versus budget, and ensuring the business is informed of its liquidity position.
• Preparation of documents for turnover and grant audits, quarterly GST filing and statutory reports for submission to the relevant authorities.
• Assists in identifying potential improvements to existing systems and processes, areas for cost savings and optimisation.
• Plays an active role in the maintenance and review of policies and procedures, including ensuring they are up to date with all regulatory requirements and best practices.

Job Requirements:

• Bachelor's degree in Accounting, Finance, or related field.
• 5+ years of experience in accounting or finance, with retail or beauty spa background preferred.
• High proficiency in Microsoft Excel and the ability to handle large data sets is critical.
• Strong analytical skills, meticulous.
• Possesses a sense of inquisitiveness on work matters.
• Able to work independently as well as collaboratively, as part of a team with strong work ethic.
• Mid-Career Pathways Programme which will last about 6 months. Conversion to full-time employment if performance is deemed satisfactory

Reporting Line: Customer Success Manager / Marketing Team

Role Overview:

A Customer Success Admin is responsible for developing and maintaining customer relationships via Porcelain's various live chats and communication platforms. The CS Admin will also actively connect with customers to ensure they are satisfied with the services they receive, provide solutions upon areas of dissatisfaction, and escalate feedback to management whenever required. The Incumbent Is expected to embrace the Porcelain values and philosophy when communicating to all external and internal parties.

Responsibilities & Duties:

· Manage all incoming and outgoing enquiries from customers via various communication platforms. (e.g., Zendesk, Freshdesk, Qontak, Privyr, WhatsApp, SMS etc.)

· Support in establishing automated standards in answering machines.

· Build rapport and establish good relationship with customers to ensure customer retention & loyalty.

· Communicate and work closely with the front desk and therapist team to ensure maximum customer satisfaction.

· Equipped with sales, customer service and skincare knowledge to educate customers on Porcelain's Products & Services.

· Handling and replying promptly to all customers enquire and providing the best solutions to them.

· Cultivate new leads by suggesting Porcelain's service and product offerings.

· Keeping records of customer interactions, transactions, comments, and complaints.

· Weekly reporting and feedbacks on the efficiency of the customer service process.

· All other projects and administrative duties as required.

Job Requirements:

· At least 1 year of customer service-related experience preferably in beauty Industry

· Proficient in English (both written/spoken), mandarin will be a plus.

· Strong customer orientation and ability to adapt/respond in different environments.

· Digitally proficient and MS Office Application (Words, Excel & PowerPoint)

· Strong communication and interpersonal skills

· High-level of initiative and service orientation

· Ability to work independently, multi-task, prioritize and manage time effectively

Job Title: Retail Operations Executive

Reporting Line : Sales & Operations Manager

Role Overview:

The Retail Operations Executive is a dynamic role focused on optimizing retail department efficiency and will support the Sales & Operations Manager In preparing sales budget, ensuring operational excellence and smooth operational flow at all Porcelain Spas in Singapore. The incumbent should be a strong team player that can engage ground employees.

Key Objectives:

· Maximize sales and profitability of the retail spa business by developing and implementing effective sales strategies.

· Pulling out sales and customer satisfaction data to identify trends and opportunities for improvement.

· Ensure compliance with company policies and procedures, as well as local regulations.

· Maintain positive relationships with vendors and suppliers to ensure timely delivery of products and services.

Responsibilities & Duties:

Meeting Preparation and Reporting:

· Prepare monthly meeting slides.

· Attend weekly managers meetings and manage minutes.

· Update and maintain Retail Operations Balance Scorecard.

· Generate annual, quarterly, and monthly performance to support reporting for retail operations.

In-Store Support and Management:

· Conduct monthly store audits.

· Provide in-store support through Mystery Shopper coordination.

· Implement checks and balances for Zenoti on an operational level.

Strategic Planning and Execution:

· Develop Gameplan templates, updating MoM actual performance.

· Generate campaign codes for Zenoti and Shopify in line with monthly campaigns

Vendor and Inventory Management:

· Coordinate vendor maintenance and liaise with external vendors.

· Forecast inventory needs for retail and consumable items.

Team Support and Logistics:

· Administer commissions calculation for the retail operations team.

· Facilitate new retail staff onboarding.

· Arrange logistics delivery from HQ to stores.

Administrative Functions:

· Create/update SOPs.

· Source items for in-store and obtain quotations.

· Apply for permission to work passes for mall access for maintenance m

· Manage package refund requests.

Job Requirements:

· Proven experiencee in retail operations or similar role.

· Proficiency in Microsoft Office Suite and retail management software.
