• Provide administrative support to Medical Director & Senior Manager.
• Plan rosters to ensure optimal medical staff at the medical centres.
• Coordinate doctors’ and locums’ timesheets.
• Day-to-day administrative work and planning for future improvements / projects/research..
• Work closely with Senior Manager to plan, and coordinate delivery of daily work.
• Coordinate and participate in periodic meetings, sending out supporting documentation (agenda), take and distribute meeting notes, and any administrative follow-up actions as required.
• Record minutes at meetings and archive them accordingly.
• To support training needs for Doctors and Nurses.
• Ensure Doctors working in the medical centres are certified and hols relevant certifications to practice safely e.g. BCLS + AED, Indemnity, etc.

• Conduct on-site engagement visits to medical centres (including migrant workers medical centres) for key updates and discussions with Doctors.
• Collate data, representation of results, and documentation of report.

Job Summary

• Work closely with Assistant Manager in the provision of frontline counter services to patients in community clinic and/or other community events.
• This will include assisting patients to verify their service requirement, managing patient queues, handle enquiries and to provide administrative support to the Assistant Manager and Resident Physician.

Job Description

Cashering & Medical Records Management

• Responsible for payment collection when assigned to cashier duties and ensure tally of end-of day sales with cash settlement and other transaction records.
• Accurate and meticulous in performing cashiering duty when assigned.
• When assigned, to ensure the timely dispatching of medical reports, proper records, and documentation of courier services in line with PDPA requirements.
• Tally and check end of day collection and supporting documents.

Registeration

• Responsible for reception of all appointment and walk-in patients at the community clinic.
• Responsible for accurate appointment scheduling / booking and registration for patients accurately via clinic system including updating of patient’s personal particulars such as email, mailing address and contact number.
• Ensure patients’ identifiers are verified for all patients when handling patient registration, which includes the verification of tests/procedures ordered by doctors.
• Ensure that relevant instructions are communicated effectively to patients prior to their tests/procedures
• Ensure relevant Authorization Forms are filled in accurately with patients’ endorsement and approval,
• Ensure accurate application of promotions and discount vouchers appropriately and to validate its utilization via the clinic system
• Adhere to policy and standard operating procedures

Clinical Duties

• Perform clinical duties (e.g., Visual acuity either near/distant, colour vision, weight, height, BMI, waist circumference, blood pressure, finger prick blood tests, urine tests and ECG under training by Resident Physician/Staff Nurse.
• Chaperon Resident Physician and assist in carrying out clinical procedures if necessary.

Public Relations

• Ensure a high standard of professional service to clients, meeting customer service and quality KPIs as determined by the department
• Proactively identify customer’s needs and sustain a culture of service excellence within the organisation.
• Work collaboratively and effectively with other teams within the medical centre and/or mobile medical services event to contribute to the performance of the team
• Follow up and support reporting officer in handling patient relation issues.

Equipment, Supplies, and Maintenance

• Responsible for keeping inventory of equipment and their maintenance.
• Responsible for reporting to the Centre Manager of any machine breakdown or damage to property.
• Responsible for adequate supplies of stationery and other consumables.

Others

• Ensure up to date product knowledge.
• Attend training when assigned by Centre Manager/ Mobile Medical Services Manager
• Maintains a safe and clean environment for the patient at all times.
• Accompanies patients to various departments as and when required.
• Any other tasks assigned by the Centre Manager.
