JOB PURPOSE

The Accounts Executive is responsible for providing financial and administrative support to colleagues, clients and stakeholders of the business. He/she will be exposure to full set of accounts of one or more entities in the group and managing both accounts payable and receivable.

CORE ROLES AND CRITICAL WORK FUNCTIONS

General Ledger / Management account

• Administer and monitor the financial system to ensure that financial information is maintained accurately and timely
• Compile and analyze financial information to prepare financial statements including monthly and annual accounts
• Ensure financial records are maintained in compliance with accepted policies and procedures
• Ensure all financial reporting deadlines are met
• Prepare financial management reports
• Ensure accurate and timely monthly, quarterly and year end closing
• Adhere to accounting control procedures
• Resolve accounting discrepancies and irregularities, and escalate to Senior Finance Manager if unresolved
• Provide support in budgeting and forecasting activities
• Monitor and support taxation issues
• Develop and maintain financial data bases
• Financial audit preparation and coordinate the audit process if required
• Ensure accurate and appropriate recording and analysis of revenues and expenses
• Analyze and advise on business operations including revenue and expenditure trends, financial commitments and future revenues
• Analyze financial information to recommend or develop efficient use of resources and procedures, provide strategic recommendations and maintain solutions to business and financial problems
• Using accounting software to create spreadsheets and reports
• Drafting summary reports concerning key issues senior management need to review
• Assigning projects to departments and overseeing productivity
• Verifying that all accounting related departments follow company protocol
• Presenting accounting issues and results to executive committees and senior management

Accounts Payable / Accounts receivable

• Administer and monitor the AP / AR system in order to ensure that the AP / AR are maintained in an accurate and timely manner
• Coordinates and liaises with other business units on billing and invoices requirement
• Reviews invoices for accuracy & compile source documents
• Sorts documents by account name or number, and processes invoices for payment.
• May perform other clerical duties associated with accounts payable / accounts receivable.
• Verifies and posts transactions to journals, ledgers and other records.
• Prepares statements, invoices and vouchers for suppliers & customers
• Ensure transactions are properly recorded and entered into the accounting system
• Handle AP / AR balancing and reconciliations.
• Determines credit worthiness of clients and formulates credit and collection policies. Takes appropriate action against delinquent accounts.
• Establishes and maintains accounting practices to ensure data necessary for business operations is accurate and reliable.
• Ensures the settlement of outstanding accounts according to contract terms. Contacts customers by telephone and/or letter.
• Reviews customers’ credit limits and accounts, sends monthly statements, issues escalation or final notice letters, and refers unpaid accounts for debt collection or legal action.

• At least a Diploma/Degree in Finance / Accountancy or equivalent
• At least two (2) years of working experience in the related field.

What you will be working on

In this role, you will:

• Manage day-to-day operations relating to CPF LIFE, such as extracting and updating listings, ensuring accuracy in figures and identifying discrepancies when necessary.

Job Description:

• Assist the Admin Department Head in all aspects of accounting and financial matters, which include the year-end audit procedures, quarterly GST reporting, verification of income tax comps, and the preparation of various reports / responses to government stat boards

• Perform daily accounting duties (Accounts Receivable, Accounts Payable, staff claims reimbursement)

• Handle full set of accounting functions including data entry to computerized accounting system, posting of journals entries (accruals, provisions and prepayments entries) as well as accurate and timely month end closing

• Verify the transactions are posted to appropriate accounts and ensure all payments are properly authorized

• Test, document, report and monitor controls as per the Internal Control systems on frequent basis. Implement corrective actions as per management

• Prepare balance sheet schedules : Fixed assets, prepayments, accruals, reconciliations of inter-company transactions and balances, inventories & etc

• Prepare AP & AR aging records

• Prepare statement of accounts and monitor accounts receivable, cash flow management and manage vendor payment request

• Undertake other ad-hoc reports or duties as required by Admin Department Head.

Requirements:

• Diploma in Accountancy /CAT / ACCA / other relevant qualification in Accounting

• At least 5 years of relevant experience in full set of accounts

• Perform monthly reconciliations between Accounts Payable sub ledger accounts and supplier statements.
• Ensure that all payments are supported by adequate documentation.

• Maintain an efficient filing system of Paid Invoices based on the vendors’ name.
• Reconcile balances of Account Payable in subsidiary ledger at the closing of each month with the General Ledger Control Account and prepare the "Aging List" of Accounts Payable.
• Maintain adequate up-to-date files for Account Payable Records and prepare monthly accruals for goods and services received.
• Responsible for auditing and processing all invoices. Ensure all invoices are attached to an approved and authorized purchase order. Audit all extensions, approval signature and any prior payment that has been made.
• To arrange the invoices alphabetically which has been posted in the computer and put them in a temporary file until such time that it is paid.
• Prior to payment, the Accounts Payable Officer must complete all the supporting documents such as Purchase Order and Purchase Request and attach them to the invoices.
• Should be aware of the deadline for the monthly payment of taxes, water, electricity, telephone and others.
• Keep all used cheque books for future reference.
• Maintain an efficient filing system of Paid Invoices based on the vendor’s name.
• Photocopy the supporting documents for Assets and Liabilities schedules.
• Assist the Accountant to determine the correct Expense Code.
• Assist the Accountant to solve the queries from suppliers.
• Ensure that a copy of all Purchase Orders are received and attached to the respective invoices.
• To maintain files for all Paid and Unpaid Invoices. Paid Vouchers should be filed according to the numerical sequence of voucher, with all supporting documents and invoices attached. Duplicate copy of vouchers should be filed separately in a control file and used for posting of payment transactions into the General Ledger and Accounts Payable Records.
• To balance and reconcile Suppliers Monthly Statements to the Hotel Accounts Payable Records.
• To reconcile balances of Account Payable in subsidiary ledger at the closing of each month with the General Ledger Control Account and prepare "Aging List" of Accounts Payable.
• To maintain adequate up-to-date files for Account Payable Records, prepare monthly accruals for goods and services received but not invoices.
• In the case of purchases through importation from outside the country, and where Letter of Credits (L/C) are required, the Accounts Payable Officer will maintain a record of all Letter of Credits and initial payments issued to the suppliers.
• To cooperate and assist with the reconciling of month-end Inventory Book Balances to actual physical counts.
• To maintain prepayment schedule and post journals to charge out to expenses where applicable.
• To assist Finance Manager in Fixed Assets recording, disposal, and tagging where applicable.
• To perform other accounting tasks that are required by the Accountant and Director of Finance.

About the Role

The position is responsible for the debtor’s function: processing credit application, invoicing, debt collection, AR cashiering, reconciliations and month end requirements. He/ She must ensure the accuracy of all charges and credits to the various debtor accounts and ensure they are posted on a timely basis. The Accounts Officer will manage the overall credit and receivable collection functions of the hotel in the most efficient manner in order to minimize the no-payment of accounts and potential bad debts. Also, to ensure that the hotel Account Receivable and credit policy and procedure is adhered by relevant departments.

Primary Responsibilities

Accounts Receivable Duties:

City Ledger

• To assess the customer's credit worthiness by research through various available sources and to recommend credit approval or disapproval to the Management.
• Process all Credit Applications, ensuring that the clients are notified promptly and professionally.
• In the AR module, set up AR accounts for newly approved credits and ensure creditors’ details are correct at all times.
• Accountable for the accurate processing of all AR accounts.
• Ensure that all Debtors’ invoices are accurate; all services invoiced supported by a valid guarantee of payment and the room rates correct.
• Check the room rates as reflected in the invoices are in line with the contracted rates accorded to the companies, airlines & agents. Any ad-hoc rates, the head of department has to be aware of the rates given by the sales manager.
• Follow up with Sales & Reservations Department if there is a variance in the room rates charged.
• Responsible for the timely transfer of the invoices to the city ledger and prompt mailing (or emailing) of the invoices to the debtors.
• Assist in dealing promptly with client queries on city ledger account. Answer debtors’ inquiries promptly and effectively.
• Complete a daily summary of all adjustments related to the City Ledger; ensure that it is distributed as necessary and reconciled with a PMS generated report at end of shift.
• Maintain proper filing procedures.

Credit Cards

• Ensure that all credit card transactions are verified for completeness and the accounts formally reconciled on a daily basis.
• Calculate and accurately post credit card commissions.
• Promptly investigate all credit card disputes, liaising with the Front Office and the banks.
• Ensure guest refunds are processed in a timely manner as per the hotel policy; with all supporting paperwork and required authorizations.
• To preform monthly credit card payment reconciliation.
• Ensure the operation procedures are in accordance with PCI-DSS compliances.

Month End

• Accurately process all Monthly Statements, ensuring that they are mailed promptly.
• Ensure that all Month End reports are printed and forwarded to the Director of Finance to prepare the balance sheet reconciliation. 

Credit Control Duties:

Credit Applications

• Process credit applications within 10 working days, ensuring that clients are notified promptly and professionally.
• The credit worthiness of all applicants is formally checked and approval must be received from the Financial Controller. 
• Review the credit worthiness of all existing non-Accor approved clients on a yearly basis.

City Ledger

• Ensure all invoices / statements are issued on a timely basis.
• Monitor the prompt follow-up of all overdue accounts and minimize the recovery delay.
• Implement effective inquiry response procedure for guests and management. 
• Ensure all travel agent commissions are timely processed and paid. 
• Report on monthly accounts receivable ageing analysis and detailed accounts’ ledgers.
• Conduct credit meetings at least once a month.
• Attend Credit Managers Group meetings to keep up to date knowledge of credit risks. 
• Appropriately manage all delinquent accounts, liaising with debt collectors where needed.
• Review and recommend accounts to be written off, providing appropriate documentation.

Guest Ledger and liaison with Front Office

• Liaise between Accounting Department and Front Office.
• Ensure PM accounts are checked on daily basis and transferred to city ledger within 48hrs from the departure date.
• Review the Advance Deposit ledger to ensure all the balances are either current or for future date.

Responsibilities

You will report to the Business Centre Branch and HQ. Your primary responsibilities are to provide customer service and perform branch administration.

· Attend to customer’s incoming calls, SMS and Whatsapp messages

· Issuance of invoices for different branches

· Update of customer information on internal database

To support sales consultants by securing appointments

· To place outbound cold calls and provide good customer services

· To keep our customers informed on the latest update and ongoing promotions

· To be inquisitive and sensitive towards customers’ requirements and concerns over call

Role Requirement

· Suitable candidate should possess ‘A’ Levels or Diploma and above

· 1 year relevant experience from service industry such as retail, healthcare, hospitality, airlines and spa & beauty including nursing and allied health diplomas advantage.

· Students & Fresh Grads are welcome too.

· Able to handle English and Mandarin speaking customers with proven Sales and Customer Service ability.

· Comfortable using computer and IT systems.

· A responsible and good team player with passion and ability to learn continuously to achieve professional excellence in aesthetics.

· 5-day work week with alternate Saturdays.

Responsibilities

Finance & Accounting

• Report to Financial Controller who is a qualified CPA / Chartered Accountant
• Liaise and coordinate with outsourced accounting firm on finance matters.
• Manage Account Payable and/or Receivable
• Ensure financial records are maintained in an effective, up to date and accurate manner
• Work closely with the Financial Controller to maintain, review and implement financial and accounting policies to ensure compliance with company’s policies and good governance, practice and standards.
• Assist in any other finance-related matters as required

Administration

• Liaise and coordinate with outsourced corporate services firm on SOP audit & compliance
• Other Ad-hoc duties if assigned.

Requirements

• Minimum Diploma or Degree in Finance, Accounting or Business fields
• 2 years experience preferably from service / hospitality / healthcare / retail industry.
• Recent university or polytechnic graduates in relevant fields without work experience but with good attitude and academic records are welcome to apply.
• Candidate who are undergoing CPA training program are welcome to apply
• Experience working in fast-growing SMEs will be an advantage
• Good in planning and organising work flow, with strong in numeracy, analytical and good interpersonal and communication skills
• Enjoy working in fast-paced and dynamic environment
• A multi-tasker and learner with self-motivation and integrity
• Strong proficiency in Excel and proficient in Office applications such as Word, PowerPoint and IT systems
