Accounts:

1. Able to manage a full set of Accounts – Monthly accurate payments, receipts, sales, stocks, AR, AP, GL and financial reports. MYOB
2. Payroll – Calculate Overtime, submit payroll spreadsheet, digital banking for payroll submission and CPF Submission.
3. Calculate and process GST submission.
4. Liase with our nominated Auditor for Year End Financial Report, Auditing process and ACRA XBRL annual return.
5. Quarterly GST submissions.
6. Grants application, monitoring and claim submission.
7. Upkeep records and management of Maintenance Agreement with Clients.

Administrative Duties:

1. Process and generate Purchase Orders and Delivery Orders.
2. Prepare shipping documents and liase with import/export freight shipment companies.
3. Administrative duties relating to Work Permits for staffs.
4. Administrative duties relating to the rental of apartment for staff.
5. Administrative duties of travel plan for work oversea by staff – booking of air-tickets, accommodation and application of Visa/VTL when applicable.
6. Administrative duties of House Keeping.
7. Filings and assist compiling documents required by sales and technical personnel.

Human Resources (HR)

1. Recruitment and management of new staff approved by Management.
2. Manage and update annual leaves for Staffs.

Requirements:

1. Must be pleasant, sociable, Self-motivated and resourceful.
2. Able to work with existing staffs.
3. Able to follow instruction when given by Management.
4. Registered as administrator for Bank and MOM to execute upload of electronic documents.
5. Proficient in English reading and writing

RESPONSIBILITIES

• Contract, Project & Filing management, preparation of purchase order, variations & final accounts and generation of cost control and reports
• General administration support to project team and assisting the project manager in working out the quantities for variations and progress claims
• Prepare monthly progress claim, vet/recommend and prepare clients’ payment certificate for management approval
• Act as second point of contact (client-servicing) on behalf of project engineers for enquiries from external stakeholders pertaining to projects & term contracts
• Undertake any other ad-hoc projects/duties assigned

JOB REQUIREMENTS

• Minimum “O” Level, diploma is a plus.
• Diploma holders with limited working experience are welcomed.
• Outgoing with good communication, negotiation and problem-solving skills for engaging with both internal and external parties to support project-related activities.
• Able to work independently and target oriented in a stressful environment.
• Computer-literate & basic Microsoft Excel skills
• Able to commence work in a short notice period.

Job Responsibilities:

(1) Perform clerical duties, such as filing and responding to emails

(2) Respond to inquiries through multiple channels, such as calls, and emails.

(3) Secure new sales order for Design & Fabrication Dept.

(4) Handle and process sales orders, PO and DO.

(5) Create and update sales orders, invoices, quotations, and other sales-related documents

(6) Coordinate, prepare, monitor and constantly follow-up on order status and delivery schedules with customers

(7) Maintain accurate and up to date documentation.

(8) Coordinate with human resources to handle department staff time attendance and work with accounting department to process invoices, payments matters relating to Design & Fabrication Dept.

(9) Handle transaction enquiries, resolve and report operational issues promptly

(10) Ad-hoc duties as assigned by Management from time to time.

Job Requirements:

Admin / Customer service / sales support / SAP experience will be an added advantage.

At least 2 years experience in administration & sales

Roles & Responsibilities

• General administrative work, including data entry, filing.
• Assist in preparing incoming and outgoing letters, mail, and sorting out mailers, bills, etc.
• Admin cum Accounts Assistant is responsible for maintaining the financial records and providing administration support for the smooth flow of the company.
• Able to liaise with English and Mandarin-speaking clients.
• Undertake ad-hoc duties whenever assigned.
• Record transactions and events relating to inventory, accruals, prepayments, capital structure and finance costs.
• Record transactions and events relating to sales, purchases, receivables, payables and cash.
