To assist in the daily operations of the clinic inclusive but not limited to the following:

Counter duties:

• Registration of patients, temperature taking, weight taking.
• Familiar with Patient Risk Profile Portal.
• Dispensing of medication and collection of payments – Familiar with E- payment modes ( QR pay, Nets)
• Perform COVID-19 & Influenza Swabs
• Assist in booking of appointment for patients for chronic disease and remind patients of their upcoming appointments
• Handling of incoming calls and enquiries.
• Administrative tasks
• Submission of claims eg Medisave, CHAS, MBS and Managed Care claims for different insurance schemes.

Requirements:

• Ability to work in a fast paced environment
• Diligent and willing to learn
• Good command of spoken and written English
• Good IT proficiency required (Computer system, Managed Care portals)
• Familiar with MBS, MHCP claim portal and corporate insurance claims
• Minimum GCE O level and above with relevant experience in healthcare/ GP clinic setting.
• Customer service orientation with pleasant disposition.
• Experience in GP clinic is necessary.
• Ability to speak Mandarin and/or Malay will be an advantage, in order to communicate with and dispense medications to Chinese and Malay speaking patients who are unable to speak English
• Able to work shifts - 44 hours/ week, inclusive of 3 nights and 1 weekend

Requirements:

• Minimum GCE O’ level, NITEC, Higher Nitec in any discipline. Diploma holders are welcome.
• Sales or customer service experience is an added advantage.
• Preferably stay in the northeast area.
• Must be able to commit to full-time hours up to 44hr per workweek
• Must be able to commit to 3 night and 1 weekend shifts.
• Good learning and service attitude is compulsory. Passionate in customer service.
• Basic IT proficiency required (Clinic Assist, Managed Care portals)
• Good command of spoken English.
• The ability to speak more languages/dialects will be an added advantage

Job Responsibilties:

Programme Co-ordination:

Provide logistic support for activities and wellness programmes that focus on building the elderly’s self-help capacity including:

• On-site active ageing programmes which may be recreational/social and cognitive in nature sometimes in collaboration with external providers
• Organising and Participation in community events, outings and outreach events such as door-knocking to engage community seniors.

Administrative Duties

• Maintain a daily register of seniors who participate in activities and programmes at the Centre.
• Maintain data for submission
• Assist with money collection, issue receipts, maintenance of petty cash and requisition of centre supplies
• Provide support to the centre cleaner to promote and maintain the cleanliness of the centre
• Ensure centre maintenance tasks are done regularly, eg. Aircon servicing, LEW reviews etc.

Volunteer Engagement

• Encourage senior participation and volunteerism through promotion of senior initiated and implement activities and ideas
• Assist the Volunteer Management Executive to engage volunteers to run programmes and activities

EXECUTIVE, GRANTS & SCHEMES ADMINISTRATION (6-Month Contract Jan - Jun 2025)

About the role

We are looking for a contract executive (maternity cover) to process applications for and disbursement of claims/grants/schemes that are administered by AAIS.

Key responsibilities include the following, other duties may be assigned:

• Processing applications for funding/grants/schemes based on set guidelines and criteria
• Administering award letters based on approved funding/grant/scheme conditions
• Verifying and processing claims in compliance with guidelines and conditions stipulated in the award letters
• Communicating funding/grant criteria/requirements and breakdowns to stakeholders
• Liaising with the funding agencies for any matter/issue that requires attention/ approval/acknowledgement from the funding agencies
• Ensuring service delivery in accordance with service level standards
• Maintaining proper records of applications and claims, adhering to system processes and ensuring accurate data inputs in system.
• Updating SOPs, assisting in grant audit and PDPA compliance & management
• Performing any other duties as assigned by the supervisor(s)

To meet the requirements of this role, you should have/be:

• A Degree or Diploma with at least one year of relevant work experience
• Good organisation skills, analytical, meticulous and preferably with accounting and/or grant claim processing experience
• Strong attention to detail, meticulous and tenacious
• Good communication and interpersonal skills
• Proficient in Microsoft Office applications and data management

Requirements:

• Able to start work immediately or within short notice.
• Prior experience as a clinic assistant will be preferred.
