We are looking for a highly motivated, result-oriented HR and Administrative Executive to join our Benel team.

Human resource function.

1. Responsible for overall system in HR department and oversee full spectrum of HR.
2. Process monthly payroll, government grants/claims, budgeting, administer/ support annual increment exercise and bonus payrout.
3. Responsible for MOM survey, work pass administration, various of government paid leave.
4. Understanding and executing staffing requisition, requirements and issues from all departments
5. Draft and update of documents such as job descriptions, employee handbook, performance appraisal, forms, policies and other HR related documents.
6. Screening the candidates by resume shortlisting, phone interview and personal interviews; coordination with the concerned departments & background verification of the shortlisted candidates.
7. Maintain employees’ leaves, medical and attendance record. Keeping track of employees’ attendance / absenteeism.
8. Onboarding program and briefing to new employee
9. Attending / Understanding employee’s grievances in their work engagement level and implement.
10. Conduct exit interviews to identify reasons for employee’s termination
11. Planning of company events or employee engagement activities.
12. Support Manager, General Administration of HR initiative and project.
13. Other HR related Ad-hoc works.

Administrative function

1. Provide assistance to the Finance department on daily processing of Account Receivables and Account Payables
2. Perform general office administration work including insurance, road tax renewal, upkeep of office premises, etc;
3. Liaise with external vendors for outsourced services provided to the company;
4. Maintain and update IT Asset Management list
5. Perform internal ISO audit within the company and maintain ISO documentation;
6. Oversee employees’ compliance with company rules
7. Assist in the Occupational Safety of the company

Requirements

1. Minimum 2 years of working experience as HR generalist with full spectrum of HR
2. Ability to work independently under minimal supervision
3. Ability to work well with a team across multiple departments - people-oriented
4. Computer literate particularly with Microsoft Outlook, Microsoft Excel, Microsoft Word & Microsoft Power Point.
5. Strong organizational skills with excellent attention to details, willingness to develop & learn new skills.
6. Good writing, analytical and problem-solving skills.
7. Discretion, confidentiality and professionalism at all times.

Job Description:

• Manage and coordinate the daily work schedules of the Installations Contract Services Team
• Ensure the timely and efficient execution of the daily work plans
• Liaise with engaged Qualified Person (QP) for the LPG Fire Safety and Shelter Department (FSSD) applications
• Monitor the progress of submission and approval processes
• Handle all operational communications, including schematic drawings, geographical location details
• Provide accurate and timely quotations for engineering projects
• Liaise with engineering vendors to facilitate project requirement
• Assist Team lead in scheduling the installation of LPG manifold systems and downpipes
• Ensure schedules are maintained and adhered to, facilitating smooth project operations
• Communicate and respond to the Singapore Civil Defence Force (SCDF) to address any enquiries
• Any ad-duties as request by HOD

Job Requirement:

• Minimum a Diploma in Mechanical Engineering or any equivalent discipline
• Candidates with SAP software knowledge will be added advantage
• Excellent organizational and multitasking skills;
• Strong verbal and written communication abilities;
• Proficiency in administrative and scheduling duties;
• Ability to effectively liaise with QP, vendors, customers and regulatory bodies;
• Candidate with familiarity to engineering processes, particularly related to LPG systems will be added advantages;
• Proficient in MS Office.

Statement Of Purpose (Overall Purpose of job)

To provide administrative support to the department / company.

Major Duties & Responsibilities

(A) Specific :

• Update, prepare and co-ordinate the endorsement of warranty for Projects

• Co-ordinate with project managers on completed documents on pre & post project

• Update, prepare and follow up on Track Record and Client Assessment Form.

• Check & monitor monthly materials report.

• Monitor and control the workers flow including driver

• Monitor on the workers welfare including biodata, work permit expiry date, etc

• Handle department staff welfare

(B) General :

• Handle and provide administrative duties within department.

• Other duties as assigned.

(C) Safety:

• To follow the Company safety procedures, rules and regulations and to eliminate or reduce hazard at the work place.

Job Requirements

(A) Education, Qualifications & Special Training :

• "O" Level with credits in English and Mathematics or equivalent.

• Job holder without the above qualification but with relevant experience would be considered.

(B) Knowledge & Skills

• Service oriented and good interpersonal skills.

• Good working attitude, self-motivated and able to work independently.

• Good communication skills (verbal and written).

• PC literate and knowledge in MS Office.

• Meticulous and a team-player.

(C) Experience :

• Preferably with at least 3 years in administrative and clerical work in construction industry or in related field.
