Deployment:

• Mondays to Fridays: 7:00am to 4:15pm, inclusive of 45 mins lunch break

• Fridays: 7:00am to 3:45pm, inclusive of 45 mins lunch break

• Service not required on Saturdays, Sundays and gazetted public holidays

• To be willing to work on flexible working hours depending on school needs

Scope of Works:

(a) Assist in school’s General Office operations such as answering phone calls/walk-ins in a timely manner; taking and relaying messages where necessary

(b) Attend to sick/injured students, ensuring such cases are recorded in the office log book

(c) Assist in office administration matters and clerical work, including receiving, sorting and distributing daily mail /deliveries /posts/ couriers, maintaining a log book.

(d) Maintain the tidiness and cleanliness of the Reception Area at all times

(e) Any other duties as assigned by the P/VPs/HODs/AM

Work Location: Yishun

Working Hours: Mondays to Fridays from 7.30 am to 2.30 pm, inclusive of 1/2 hr lunch break.

Contract Period: 3 Jan 2025 to 31 Dec 2026.

Job Description

In the Area of Teaching and Learning

• To prepare and get ready resources for Science teaching and learning
• To assist Science teachers in the setting up of experiments, etc. for Science lessons and/or activities and clearing of resources after each Science lesson and/or activity.
• To assist in the setting up of ICT and Science equipment such as projector, iPads, dataloggers, and microscopes for Science lessons and/or activities
• To perform yearly inventory and stock taking of Science resources and equipment in the 2 Science Laboratories and TinkerSpace.
• To organise the Science resources and equipment in the 2 Science Laboratories and TinkerSpace.
• To maintain cleanliness and assist in ensuring safety in the 2 Science Laboratories and TinkerSpace at all times.
• To assist in conducting simple Science enrichment activities such as showcasing the life cycles of some animals and creative toys during designated recesses / Science school-based events to complement Science learning in the classroom.

Science Projects

• To assist in the loan and yearly inventory and stock taking of resources in various Science Programmes e.g.TinkerSpace Programme, Science Sparkles, E2K-Ignite Programmes, etc.
• To assist the department in monitoring the Aquaponics System including feeding the fishes and harvesting the produce.
• To assist the department in the feeding and maintainance of the Mealworm Beetles, Stick Insects Enclosure, etc.
• Must be able to comfortably handle ‘live’ specimens e.g. mealworm beetles

Others

• To do any other duties as assigned by HOD Science.

Job Requirement

• Minimally ‘O’ level qualifications
• Must have at least 2 years of working experience as a Science Laboratory Assistant/ Laboratory Technician
• Proficient in MS Excel

Reception

• Cover front desk customer service duties for Primary School and MOE Kindergarten.
• Answer phone calls, attend to walk-in visitors, takes messages,responds to enquiries and provide general useful information (in a dynamic environment where high calls volume can be expected during peak hours).
• Maintain customer related information when required, eg phone log.
• Communicate with teachers regarding parents’ feedback/ messages from phone calls or walk-in parents.
• Handle daily varied demands and queries from parents/ students/ vendors/ staff etc.
• Render first level assistance to walk-in students’ needs including attending to sick and injured students, early dismissals. To escalate such cases to other colleagues in the office immediately if it is beyond superficial cases
• Handle/ support situation when student(s) vomited and soiled their clothes.
• Assist students in times of need, e.g. handling lost & found items, change of uniform, contacting teacher/ parent, locating classroom.
• Assist in receiving of goods and incoming mails.
• Maintain tidiness of the reception area at all times.

Administration

• Assist in the counting / sorting / packing / distribution of brochures or leaflets/items to the teachers and students.
• Assist in the dissemination of information: school circulars, parents’ messages.
• Inventory management of spare uniforms and first aid items.
• Assist with the updating of Organisational Chart when new staff joins, or resigning staff leaves.
• Assist with updating the attendance system on a daily basis, using the IT-enabled system of attendance tracking.
• Any other duties assigned by School Leaders, Administrative Managers (AM) or Operation Managers (OM), including supporting school key personnel as assigned by the AM.

Qualification:

• Minimum 3 GCE “N” Level Passes including English and Mother Tongue language.
• Must be proficient in computer applications such as MS Word, MS Excel.
• Possess customer service oriented disposition with good interpersonal and communication skills.
• Shall have at least 3 years of relevant experience in administrative role and/or front desk reception, preferably with prior working experience in an educational institution.
• Able to relate well with young children.

Responsibilities:

• Independently provide comprehensive corporate secretarial services to a portfolio of clients.
• Ensure smooth team operations by designing and improving new and existing processes or systems.
• Oversee and mentor junior team members, fostering their professional development.
• Manage a portfolio of clients and handle a wide range of corporate secretarial activities, including organizing board and committee meetings, taking minutes, preparing board resolutions, and handling ACRA filings.
• Contribute to the growth and management of a team of professionals, including reviewing work, coaching, and staff development.
• Provide expert advice to clients on corporate secretarial matters, ensuring compliance with relevant regulations.
• Manage client deliverables to ensure all deadlines are met and high-quality service is maintained.
• Undertake additional tasks as required to support the delivery of services to clients.

Requirements:

• ICSA graduate, preferably with a degree in Business Administration, Commerce, Law, IT, or related disciplines.
• Minimum of 12 years of corporate secretarial experience in a senior role, including acting as a named company secretary, with current experience in a managerial capacity.
• Strong understanding of the Singapore Companies Act and relevant regulations.
• High degree of professionalism with excellent communication skills, integrity, and sound decision-making abilities.
• Exposure to the investment and financial industry is an advantage.
