Job Description:

• Provide administrative support on pre and post sales matters.
• Assist Director in calling customers and setting appointments
• Taking client’s queries on behalf of Director whenever required.
• Maintain Director’s appointment schedule by scheduling meetings, conferences, teleconferences, and travel.
• Design and update meeting slides, rewards/challenges, and upcoming events for the team.
• Liaising with clients for any outstanding documentation, maintaining polite and professional communication via phone, e-mail, and mails.
• Submission and follow-up on documents via system.
• Perform other clerical and administrative duties such as maintenance of proper filing system for client database.
• Tracking of daily expenses, consolidating, and preparing of monthly tax receipts and claims.
• Other ad-hoc duties whenever required.

Requirements:

• Minimum diploma qualification
• Strong team player, willing to learn and able to work independently
• Competent in MS office knowledge (Excel, Word, PPT) and exposure with Canva and Photoshop will be highly preferred

• Ensure timely and accurate payment processing, invoice verification, and approval.
• Verify descriptions, account codes, tax codes, and amounts in the system.
• Prepare general ledger entries.
• Prepare monthly balance sheet and audit schedules.
• Download daily bank statements and follow up on unmatched transactions.
• Reconcile banks, vendors, and inter-company accounts monthly; track debit/credit card usage.
• Create vendor records and perform sanction screening.
• File and archive payment vouchers and invoices per retention policy.
• Handle accounts receivable receipts.
• Assist in accounts receivable and revenue accounting tasks.
• Perform other duties as assigned by finance team.

Location: Bukit Merah

• Prepare shipping documents (packing list, delivery orders) and forward to relevant parties.
• Pack goods for export shipments.
• Perform store duties (receiving, issuing, checking, loading/unloading goods).
• Generate Purchase Orders (PO) from in-house accounting system.
• Coordinate with freight forwarders for timely delivery to local and international customers.
• Work on shipment-related modules in ERP system.
• Respond to customer inquiries regarding product availability and delivery schedule.
• Handle ad-hoc tasks or projects as assigned.
• Maintain SAP data for direct shipments to various countries (Australia, New Zealand, Japan, etc.).
• Ensure compliance with Dual Use End User Declaration before shipment.
