Position Summary

The Programme Assistant will support the d’Klub Mentoring Programme, focusing on mentoring services, including centre management, volunteer coordination, and programme development. The role also includes general administration support for other departmental programmes. This role requires full-day availability on Saturdays.

Roles & Responsibilities

Programme Support & Implementation

• Assist in planning and executing activities for the d’Klub Mentoring Programme.
• Ensure smooth centre management and operations.
• Provide mentorship support to programme participants.
• Assist in implementing programme curriculum and character-building lessons

Volunteer Management

• Assist in recruiting, training, and managing volunteers.
• Coordinate schedules and ensure adequate support for activities.

Programme Development

• Contribute to the creation of new mentoring initiatives and activities.
• Plan and coordinate outings, events, and other learning activities for children and families
• Evaluate programme effectiveness and recommend improvements.

Administrative Support

• Maintain accurate records, including participant and volunteer data.
• Prepare reports and documentation for programme activities.
• Support other department programmes as required.

Requirements

• Passion for community service and mentoring children.
• GCE A Level/ Diploma or equivalent in related fields (preferred).
• 1 year experience in programme coordination and working with children and youths.
• Strong organisational and administrative skills.
• Excellent interpersonal and communication abilities.
• Proficiency in Microsoft Office Suite.
• Able to commit to a full workday on Saturdays.

Job Scope

Reporting to Programme Executive, you are expected to identify areas of improvements in these programmes, implement quality control measures and develop information materials for distribution to clients and volunteers, at HQ and on-site.

Main Job Role:

1. Execution of TLE Programmes and Operations
2. New TLE Programme Development (involving volunteers) on site
3. Community Outreach and Engagement
4. Stakeholder Relationship (Internal and External)

Key duties and responsibilities:

• Performing day to day Tri Love Elderly (TLE) programme operations at the assigned work site
• To assist in the conduct of the Tri Love Elderly (TLE) operations of daily programmes and ad hoc activities such as excursion, visit to nursing homes etc.
• To provide administrative support TLE programmes such as taking attendance, data compilation, design of brochure and flyer etc.
• To provide logistic support for TLE programmes such as room set-up, equipment housekeeping, transport coordination etc.
• To lead and supervise TLE volunteers on their duties for internal and external activities.
• To participate in and support cross-department events such as volunteer appreciation, fundraising events etc.
• To ensure TLE operations run smoothly and efficiently

Pre-requisites:

General:

1. O/A Levels or Diploma holders in any discipline
2. Effectively bilingual (English and Chinese)
3. Good communicator

Technical:

We are looking for a passionate, highly organized and motivated Administrative Assistant to join us at Caritas Agape Village in Toa Payoh.

You will play a vital role in ensuring the smooth administrative operation of our organization. Your key responsibilities will include:

Meeting Support:

• Taking accurate minutes during board and committee meetings.
• Managing RSVPs for meetings and events.

Facilities Booking Management:

• Handling facilities booking and responding to inquiries.
• Coordinating with internal and external stakeholders to ensure seamless use of our facilities.

Event Management:

• Plan, coordinate, and execute events from concept to completion, ensuring seamless delivery including logistics, budgets, timelines, and vendor negotiations, ensuring all details are meticulously handled.
• Oversee event communication, promotion, and staff management, ensuring successful execution and post-event evaluation.

Administrative Support:

• Providing overall administrative support including attending to walk-in inquiries
• Assisting with various administrative tasks as needed to support the organization initiatives, projects and events.
• Compile and consolidate monthly data for management reporting.

Requirements:

• GCE A level or its equivalent
• Minimum of 5 years of experience in an administrative role
• Strong organizational and time management skills.
• Excellent written and verbal communication skills.
• Ability to interact effectively with stakeholders at all levels, whether senior executives or working-level staff
• Ability to take detailed and accurate minutes of meetings.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
• Prior experience in an administrative role is preferred.

Job Description

Volunteer Management

• Assist in the engagement of new/existing volunteers and external stakeholders (schools and corporate partners). Duties include providing volunteer events management support.
• Assist in the coordination of on-boarding process and training sessions for new volunteers, partnering schools and organisations.
• Maintain volunteer programme schedule and events calendar.
• Assist in matching volunteers’ skills with available roles, help volunteers understand their responsibilities and ensure compliance.
• Provide administrative support on volunteer related requests.
• Provide support and help to set-up for volunteer related activities and meetings including meetings on digital platforms.

In-Kind Donation Management

• Coordinate with donors and internal staff on the receipt of items.
• Prepare and issue acknowledgement letter to donors.

Administrative Support

• Assist in data collection, maintain proper filing system, including data management such as data entry.
• Work closely with Nursing department to coordinate the selection of residents for activity.
• Provide support to ensure the volunteer programme are conducted smoothly.
• Assist in any frontline service and management of volunteers as and when the need arises.
• Assist and support corporate events.
• Perform any other ad-hoc administrative tasks assigned.

REQUIREMENTS

• Minimum Diploma qualification in any discipline
• Able to work independently as well as in a team
• Relevant experience in working with volunteers will be an advantage
• Knowledge of other dialects will be an advantage to communicate with the residents
• Proficient in Microsoft Office application (e.g. Word, Excel, Outlook)
• Proficient in using Zoom and other virtual meeting application
• This is a Full-Time position, 5 working days per week. Candidate must be able to work on weekends with 2 rest days on weekdays.
