Admin Executive (Contract)

Contract Period: 2 months

This position is to report to Manager (Corporate Services) and the Assistant Managers and provide support to ensure the smooth operations of the HR/Admin Department.

What you’ll be doing:

• Responsible for department administrative support duties such as AOR, invoice processing to finance, recording of expenses etc.
• Processing daily outgoing mails using of the franking machine, arranging weekly courier service etc.
• To disseminate the incoming mails and despatch to the relevant departments.
• To buy and prepare the refreshment for all meetings.
• To ensure that the Boardroom and Meeting rooms are set-up properly and ready for the meeting.
• To ensure there is enough inventory for the coffee capsule, tea, cups, plates, cutlery, boxes etc.
• Assist the department in organising any Staff Events.
• Responsible for general corporate office administration duties like procurement of office stationery supplies.
• Other general administrative or corporate service duties as assigned by Manager, Corporate Services and Assistant Managers.

We want you, if you have/are:

• At least a Diploma in Administrative or its equivalent.
• Minimum 3 years working experience in doing Admin.
• Service oriented with good written & verbal communication skills.
• A team-player with good interpersonal skills.
• Able to work independently, meticulous and self-motivated.
• Able to start work immediately or on short notice will be preferred.

What a Snr Contract Analyst, Client Contract Management:

This role is an individual contributor within the AP&CEMEA CCM team based in Singapore office. The ideal candidate will be self-directed, analytical and a strategic thinker.

• Serve as the key CCM contract owner for the assigned markets in managing and facilitating client contract administration process which includes reviewing and processing contract requests, contract drafting, stakeholders’ approvals, contract issuance, and execution within agreed Service-Level Objectives (SLOs).

• Liaise with various stakeholders including Account Executives, Products, Legal, Finance, Audit etc to ensure that contracts are developed and approved consistently and promptly in accordance with relevant policies and procedures.

• Manage post-contract administration activities including and not limited to distribution of contract information to all necessary stakeholders, handling of hardcopies, contracts filing, database management, audit enquiries, and other post-execution activities.

• Maintain accurate and timely records and documents associated with all contracts for management reporting, capacity planning, as well as for audit purpose.

• Identify and implement process improvements for assigned markets and / or contract types, and provide value-add services to our stakeholders and business partners.

• Participate in special assignments and providing ad-hoc support and reporting as required, including but not limited to supporting other regions’ colleagues as needed.

What you will need:

• Required education: Bachelors degree at minimum.

• 5-7 years of business service management experience in contract management or business operations, preferably in the payment services industry and related credit and debit processing industries, banking and financial institutions, technology and digital payments, fintech.

• Highly-organized self-starter with strong attention to detail, able to multi-task and to follow procedures driven process in managing requests from stakeholders across various functions at all levels of management under minimal supervision within agreed Service-Level Objectives (SLOs).

• Responsible for own workflow assignments and must be able to take the initiative to resolve problems and meet tight deadlines especially during peak period.

• Team oriented, collaborative, diplomatic and flexible.

• Excellent proficiency in professional business English both written and verbal.
