Job Title: Communications Specialist (1 Year Contract)

About the role:

The Communications Specialist role is focused on developing and delivering the organization's internal communication strategy. This position ensures employees have access to business information and knowledge, contributing to effective communication within the organization.

How you will contribute:

Communication Strategy & Planning

• Support Head of GEM Communication in executing communication plans.
• Assist in coordinating communication activities across local and regional teams to ensure business objectives support GEM’s branding and messaging guidelines.
• Help promote global communications initiatives within the region and assist in communicating regional initiatives across GEM.

Content Development & Management

• Create engaging and informative content for multiple platforms, including social media, the company website, and local channels.
• Collaborate with subject matter experts to develop messaging that showcases GEM’s initiatives, achievements, and values.
• Manage internal communication channels including GEM MyTakeda site, Viva Engage, and EDMs.

Event Support & Execution

• Support the execution of GEM President-led communications and events, such as town halls, conferences, and internal meetings.
• Support the planning and execution of events, webinars, and other outreach activities that promotes GEM’s initiatives and strengthen relationships with stakeholders.
• Help review that all event materials are aligned with GEM’s branding and messaging.

Vaccines Communications

• Support Vaccines BU with internal and external communications plans and stakeholder engagement, advocating for vaccine policies aligned with company objectives.
• Assist in planning and executing communication strategies for future vaccine product launches and campaigns.

Stakeholder Engagement & Relationship Management

• Assist the Head of Communications in liaising with external partners involved in collaterals production, creative design, translation, photography, and video production.
• Support the coordination of communication efforts with internal & external teams to ensure messaging is consistent and aligns with GEM’s initiatives and goals.

Crisis Communication & Monitoring

• Support in managing communications plans during crisis and critical situations, ensuring GEM’s reputation is maintained with guidance from senior team members.
• Assist in monitoring industry trends and developments, providing insights to the Head of Communications on any emerging issues.
• Help track media coverage and social media discussions during crises to support timely responses.

Performance Analysis & Reporting

• Track and analyze communication metrics to evaluate the effectiveness of campaigns and initiatives, providing data-driven recommendations for improvement.
• Analyze social media performances to continuously refine and improve engagement strategies.
• Prepare regular reports for Head of Communications to keep leadership team informed of communication activities and their impact on business objectives.

What you bring to Takeda:

• Bachelor’s degree in communications/ journalism/ administration or related field.
• 1 - 2 years of experience in a communications role or relevant internship experience.

Location: Chinatown

Responsibilities

• Operate and maintain print-room equipment, including printers, copiers and binding machines
• Maintain inventory of printing supplies and materials
• Operate scanning equipment to digitize documents and store the digital files in the appropriate locations
• Ensure timely completion of print and scan jobs according to requestors’ specifications
• Manage the movement of physical documents, including overseeing handovers and keeping records of the documents’ movements.
• Coordinate with teams or executives to ensure timely dispatch and receipt of documents, as well as handle related operations and logistics
• Collaborate with team members to ensure smooth workflow and timely completion of tasks.
• Perform ad-hoc / additional tasks as directed by the supervisor(s)

Requirements

• Past work experiences in print-room, scanning, and/or mailroom operations would be an advantage.
• Basic knowledge of printing processes, mail handling and scanning.
• Experienced in using document management software such as Adobe Acrobat, as well as Microsoft Office applications.
• Attention to detail and commitment to quality
• Good communication and interpersonal skills

Job Scope

Support Clinical Project Managers (CPMs) and study team with administrative, documentation, TMF, budget management and logistic activities related to Clinical studies during the operational phase of clinical trials to ensure the timely delivery of quality data while complying with internal Standard Operating Procedures, applicable laws and ICH Good Clinical Practice.

• Supports high-quality electronic Trial Master Files (eTMFs). Performs set-up, maintenance (filing and approving documents) and archiving of eTMFs.
• Provides CRO oversight by developing eTMF guidelines, establishing review processes, and ensure the filing completeness.
• Manages documentation of clinical studies in compliance with Good Clinical Practices (GCP) and relevant Standard Operating Procedures (SOPs) and perform filing QC
• Supports CPMs with vendor creation, budget and invoice management: checking of good receipt and payments, uploading invoice information in Finance budget tool, assist on planning of commitments monthly and keeping track of actual spending for each study
• Supports maintenance of clinical studies management tracking tools and trackers. Support study team to register study on ct.gov.
• Assists study team with trial management logistical support (sample or ancillary shipments, procurement of study supplies, organizing trainings).
• Assists study team in the quality check of protocols, informed consent forms and advertisement materials to ensure compliance with SOPs and regulatory requirements.
• Supports organization of clinical meetings (internal meetings, meetings with CROs, Investigators meetings, etc.) including agenda, minutes, logistics.
• Assists in managing global communications (e.g., Newsletters, emails, website posting). "
• Assists with the preparation, review and maintenance of SOPs, work instructions, training materials, and templates related to project activities.

Requirements

• Bachelor’s Degree in health care, life sciences or related field with demonstrable related experience in in Food/Pharma/CRO industry or in an academic setting
• Records management experience in a GCP-regulated environment.
• Experience in clinical trials in Nutrition is an advantage
• Good knowledge of Good Clinical Practices (GCP), regulations/guidelines and of the quality control process and compliance requirements in relation to TMF
• Proficient and agility in common office technology e.g. Microsoft tools, teleconferencing, etc.
• Strong general administrative skills and a minimum of 2 years of clinical studies administration experience
• Educational background in biological science or other relevant science.
