The Accounts and Finance Officer/ Executive will be responsible for managing day-to-day accounting functions, ensuring accurate financial reporting, and supporting the financial operations of the company.

This role will include handling general ledger entries, financial reconciliation, managing fixed assets, and assisting with budgeting and forecasting.

Key Responsibilities:

1. General Ledger Management:

• Maintain and update the general ledger with accurate and timely entries.
• Prepare and post journal entries, including accruals, prepayments, and adjustment

2. Accounts Payable and Receivable:

• Process and manage accounts payable and receivable, ensuring timely payments and collections.
• Reconcile vendor statements and resolve any discrepancies promptly.

3. Financial Reporting:

• Assist in the preparation of monthly, quarterly, and annual financial statements.
• Support the preparation of management reports and variance analyses.

4. Fixed Asset Management:

• Maintain and update the fixed asset register, ensuring accurate recording of acquisitions, disposals, and depreciation.
• Conduct regular physical audits of fixed assets to ensure accuracy and compliance with company policies.
• Ensure compliance with relevant accounting standards and company policies for fixed asset management.

5. Bank Reconciliations:

• Perform monthly bank reconciliations and investigate and resolve any discrepancies.

6. Tax and Compliance:

• Support the preparation and submission of tax returns and statutory filings.
• Ensure compliance with relevant tax laws and regulations.

7. Audit Support:

• Assist in internal and external audits by providing necessary documentation and explanations.
• Implement and monitor internal controls to safeguard company assets and ensure accuracy in financial reporting.

8. Cash Flow Management:

• Monitor and manage cash flow to ensure the company can meet its financial obligations.
• Prepare cash flow forecasts to support financial planning.

9. Problem-Solving and Process Improvement:

• Identify areas for process improvement and implement solutions to enhance efficiency.
• Troubleshoot accounting issues and provide recommendations for resolution.

10. Follow-Up and Communication:

• Liaise with internal departments and external stakeholders to resolve financial discrepancies and follow up on outstanding items.
• Maintain clear and professional communication with vendors, customers, and team members.

Requirements:

• Minimum Diploma in Accountancy or its equivalent; ACCA or equivalent qualification will be added advantage.
• At least 2 years of related working experience, preferably in the airfreight and logistics industry. Candidates with more experience will be considered for the Executive position.
• Proficiency in financial accounting and reporting.
• Meticulous, motivated, able to work independently and lead a team.
• Well versed in Microsoft Office applications (Word & Excel).

Duties & Responsibilities

• In charge of the full spectrum of Accounts Payables and General Ledger function assigned.
• Liaison work with vendors, internal and external auditors, banks and regulatory agencies.
• Handle the entire F&B accounting activities independently up to finalization of accounts and audit.
• Ensure all payments to suppliers, staff, and other external parties are made according to company policies and procedure.
• Analyze revenue and expenditure trends and recommend appropriate budget levels, and ensure expenditure control.
• Assist in budgeting and forecast annual profit, capital, cash and other short-term plans.
• Ensures that accurate bookkeeping is administered and that revenue and costs are booked in the correct time period.
• Update and maintain product list.
• Verify and review accuracy of material, product and inventory cost .
• Handle the fixed asset register, including sighting and reconciliation with system.
• Liaise with tax agent and prepare quarterly and yearly tax computation.
• Prepare audit schedule and liaise with external auditor on audit matters.
• Assist implementation of policies and procedures within the Finance department.
• Implement Process Improvement and Internal Control.
• Reconciliation of stocks for F&B & Retail Shop.
• Analyses the food and beverage cost.
• Assist Finance Manager during month end closing including preparation of general ledger journal and audit schedules.
• Involve in monthly stock take for F&B & Retail Shop.
• Other duties or special projects assigned by management.

Qualifications, Knowledge & Experience

• Diploma and above in Accounting or its equivalent
• Chartered Accountant preferred
• At least 5 years’ similar experience in the hospitality/F&B industry
• Cost & inventory control experiences preferred
• Able to work in a team and interact with people at all levels
• Good computer knowledge.
• Proficient in Microsoft Office Skills; Working knowledge in Sun Accounting System is an advantage
• Bilingual in English and Chinese is a must (need to liaise with Chinese speaking counterparts)
