JOB PURPOSE

• Support and assist in timely and accurate financial and management reporting of Little Humans Pte Ltd (formerly known as Mothercare (S) Pte Ltd) accounts.
• Handle full set of accounts for several entities.
• Support Group CFO in financial related functions

JOB ROLE

Duties & Responsibilities

• Handle accounting Journals and finalize monthly trial balance and prepare monthly P&L and balance sheet
• Prepare monthly reconciliation of balance sheet schedules
• Assist in compiling cash flow data for weekly cash flow reporting
• Assist in bank forms preparation including fixed deposit placement and changes in signing arrangement.
• Handle gift vouchers issuance and reconciliation
• Keep proper accounts of payables and receivables including payments and collections
• Perform monthly bank reconciliation and follow up on closing outstanding items.
• File quarterly GST returns
• Handle annual audit requirements and provide corporate tax information to tax agent in line with statutory requirements
• Handles ad hoc finance and administrative duties including supporting the sales and operations for expositions and fairs.

KEY DECISIONS & PROBLEM-SOLVING

• Decide on proper accounting entries
• Ensure proper authorization is in place before payments are made
• Produce accurate and timely financial statements

QUALIFICATIONS & EXPERIENCE

• Minimum diploma/degree with 1 year of experience
• Handling small full sets of accounts will be an advantage
• Hands on experience in Netsuite is an advantage
• Competent in MS office

You are primarily responsible for finance functions related to Account Payables and Subvention accounting, as well as supporting various projects and systems implementations. You will work closely with our Finance Shared Services, IT and other relevant departments to ensure seamless integration of systems and adherence to financial processes.

Performing Daily Checks and Implementation

1. Provide technical support to staff and students for iPad personal learning device (PLD)
2. Liaise with iPad PLD vendor for repair or replacement of students’ iPad
3. Liaise with DMA vendor for any technical support for students’ DMA
4. Monthly or Ad-Hoc Wall-to-wall inventory checks
5. Assist HOD ICT in MOE-initiated rollouts and projects
6. Ensure classroom AV and IT equipment are in working order for daily teaching and learning
7. Assist Desktop Engineers (DE) in handling Schools SOE troubleshooting issues
8. Assist HOD ICT in procurement of ICT Equipment and Services
9. Gather information and feedback from staff on ICT needs and requirements.
10. Propose solutions to the need to replace or upgrade ICT Equipment
11. Propose specifications for invitation to quote on Gebiz (with the help of the administrative manager (AM) and HOD / ICT in accordance with School Procurement Guidelines)
12. Meeting up with vendors for clarification
13. Maintain proper documentation of the various ICT purchases and loans to staff and students

Maintenance of ICT Facilities and Equipment

1. Work with DEs on all issues related to ICT facilities, such as Computer Laboratories and IT Rooms
2. Work with DEs on preparation of ICT facilities and equipment for Laboratories, IT Rooms, PCs and teachers’ notebooks, visualizers, projectors, etc
3. Work with DEs on all issues related to ICT equipment in the school
4. Regular checks on the Log in-out Files in Open Access Computer Labs, Monitoring the Usage of ICT facilities and equipment
5. Liase with external contractors to maintain AV/IT equipment

Administrative Matters

1. To advise teachers and students on the use of ICT for projects and presentations.
2. To coordinate and assist teachers in the conduct of the AV activities (providing AV support).
3. To assist in maintaining and updating the school website, PDLP microsite and FHBL Dashboard
4. To advise teachers on software solutions which will solve their problems
5. To be involved in the integration of ICT into curriculum, instruction and assessment.
6. Deploy booked iOS devices to classrooms.
7. Maintain the booking of resources on an online portal.
8. Design of PDLP posters and newsletters.

Miscellaneous

1. To provide additional support to school for important events such as video recording, photography, and AV support
2. To provide support for school’s presentation during major events
3. To assist in distribution and setting up of ICT equipment
4. To provide services for school functions on computer-related matter

Roles and responsibilities:

1. Recruitment (~50%)

• Oversee the recruitment and management of various full-time positions, including ICT trainers, software developers, and healthcare assistants, as well as facilitating mid-career traineeships and internships.
• Lead comprehensive recruitment processes from start to finish, encompassing tasks like candidate sourcing, conducting interviews, assessing qualifications, and executing initial interview rounds.
• Deliver constructive feedback and assessments of candidates post-initial interview rounds to hiring managers, internal stakeholders, or external stakeholders as needed.
• Sustain a robust talent pool, ensuring a readily available resource of potential candidates for future requirements.

2. HQ and Seconded Staff Management and Support (~35%)

• Coordinate the strategic deployment, relocation, and succession planning of seconded personnel to ensure seamless continuity at client sites.
• Oversee employee advancement, fostering a vibrant and efficient company culture while monitoring individual progress.
• Address HR inquiries from colleagues and manage grievance cases when necessary.
• Contribute to monthly payroll activities and facilitate government program claims (e.g., traineeships) for optimal operational support.

3. Overseeing and optimizing training initiatives (~15%)

• Collaborate extensively with internal stakeholders to implement HR initiatives aimed at enhancing company performance and fostering increased efficiency among employees.
• Assess the training requirements of new hires and actively guide them through the necessary training programs.
• Regularly interact with colleagues to evaluate their needs and recommend training when required.

Requirements:

• A Degree or Diploma in Human Resource Management, Social Sciences, or a related field.
• Possess a minimum of 1 year of relevant work experience; however, applicants lacking relevant experience are welcome to apply and will be evaluated on an individual basis.
