At FunWorks Pte. Ltd ( https://fun-works.co ), we are seeking a talented HR & Admin Assistant to join our team. In this full-time role, you will play a pivotal part in shaping the HR function of our dynamic and growing company located in the Pasir Ris Park East Region.

What you'll be doingAssist HR & Admin HOD to Perform full spectrum of HR & Administration Support functions.

HR

• Perform staff recruitment via various means to meet the company manpower needs.
• Familiar with recruitment requirements, able to identify potential candidates, conduct selection, interviews, job offer and signing of employment contract.
• All Onboarding and Offboarding matters such as Staff Inductions, Staff equipment issue, staff pass, arrange exit interview and exit clearance.
• Maintain and update employees’ records in InfoTech HRM system and P Files
  Able to draft HR related letters and notices and communicate well with staff and related government agencies.
• Familiar MOM policy and perform MOM work permit/pass applications, renewal, and cancellation.
• Liaise with MOM to resolve work pass related issues.
• Manage staff attendance, leave administration, payroll computation and income tax clearance submission via InfoTech HRM system.
• Handle employees’ welfare and benefits, organize company events and activities for employees.
• Perform staff engagement and survey.
• Training registration and maintain a proper training records.
• Facilitate work performance review and staff appraisal.
  Admin
• Familiar with Government Supports and Grants application
• Update and Maintain Workflow charts and SOP
• Facility Maintenance (e.g. vendor contracts renewals, Copier machine, fire safety equipment, etc)
• Manage outlets’ monthly Bulk Purchases
• Manage group insurance, staff expenses and Transport claims
• Any other Admin task from Director

• A minimum of 1 years of experience in a generalist HR role, preferably in a fast-paced, dynamic environment
• Strong analytical and problem-solving skills, with the ability to provide practical and pragmatic solutions
• Proficient in INFOTECH HRM systems, Microsoft Office suite and Adobe.
• Excellent communication and interpersonal skills, with the ability to effectively liaise with employees at all levels
• A hands-on, proactive, and solution-oriented approach to work
• Adaptable and able to thrive in a constantly evolving business environment

Job Title: Administrative and Accounts Assistant

Key Responsibilities:

• Administrative Support & Financial Management:
  • File documents and maintain filing systems, both physical and digital, to ensure all financial records are organized and easily retrievable. File and data archiving.
  • Perform data entry tasks to manage receivable and payable accounts and maintain financial records.
  • Create and update corporate customer master records between the clinic software (GP Connect) and Xero accounting.
  • Manage general accounting tasks, including monthly invoicing and following up on payments.
  • Arrange for supplier bill payments via online payment. Verify supplier invoices and address discrepancies, such as obtaining missing invoices.
  • Perform stock take reconciliation and verify the accuracy of data records in clinic software on an ad hoc basis and at year-end.
  • Write and reply to emails, letters, and other necessary correspondence assigned by the director.
  • Manage and track staff attendance and activities. Liaise with the attendance software provider if staff encounter issues clocking in and out. Rectify backend issues if staff forget to log in or fill in leave/OT forms. Monitor staff's annual leave, medical certificates (MC), and overtime (OT) on a monthly basis before payroll processing.
  • Reconcile daily credit card collections (AMEX/VISA).
  • Handle general administrative duties, such as MOM statistics/HR matters and internship collaboration with polytechnics, drafting staff employment letters, renewing company insurance, form filing, and other HR-related tasks.
  • Manage patient billing processes, including invoicing, collections, and insurance claims submission.
  • Monitor accounts receivable and follow up on outstanding payments.
  • Assist in financial reporting by maintaining accurate records of income and expenses.
• Office Management:
  • Order and manage office materials like copier paper and credit card terminal paper, and maintain warranties for office equipment.
  • Collaborate with clinic assistants to streamline office operations and improve patient care workflows.
  • Assist with administrative projects and tasks as needed to support clinic operations.

Qualifications:

• Diploma or equivalent; additional certification in office administration or accounting is preferred.
• Relevant working experience in a healthcare setting, particularly in a GP clinic, is highly desirable.
• Proficiency in Microsoft Office and experience with accounting software.
• Excellent organizational skills and attention to detail.
• Strong communication and interpersonal skills, with the ability to work collaboratively in a team environment.
• Ability to maintain professionalism and handle sensitive information with discretion.

Project Admin Assistant

Job Description:

- Prepare tender/quotation submissions.

- Prepare claims and photo report submissions.

- Coordinate with site supervisors for photos & final quantity needed for claim submissions.

- Source and obtain quotations from subcontractors/suppliers for tenders & projects.

- 5.5 days work week (Mon - Sat)

Requirement:

- Good communication skills.

- Proficient in Microsoft Word/Excel.

- Willing to learn.

- Able to work independently, be meticulous, a good team player.

- Attention to detail to ensure accuracy in cost calculations and reporting.

You will be assisting the Manager to arrange meetings and coordinating schedules.
