Key responsibilities include (though not exhaustive):

• Accounts Payable Management: Accurately post and record various payables in the accounting system, ensuring meticulous documentation and organised storage both in the accounting system and shared drives
• Aging Analysis & Client Follow-Up: Prepare detailed aging analysis reports, and proactively follow up with clients to ensure timely payments
• Bank Reconciliation: Perform thorough bank reconciliations, as well as identifying and resolving discrepancies to maintain accurate financial records
• Month-End Close Support: Contribute to the month-end closing process by preparing supporting documents to ensure timely and accurate financial reporting
• Vendor Onboarding: Assist in the preparation and submission of new vendor forms, including handling online registrations, to ensure seamless vendor onboarding
• Financial Documentation Assistance: Provide support in the preparation of documentation for various finance-related matters, ensuring compliance and accuracy
• Ad-Hoc Financial Support: Assist with any ad-hoc tasks or projects as needed to support the finance team and ensure the smooth operation of financial processes

Requirements:

• Accounting/finance student or recent graduate with a relevant Diploma or Degree
• Previous accounting/finance internship a plus, but not required
• Meticulous and strong attention to detail

Key Responsibilities:

• Invoice processing, processing payments in compliance with policies on a daily and weekly basis, delivering high quality service.
• Execute Accounts Payable processes in a timely, efficient and accurate manner.
• Process staff claims.
• Perform vendors’ statement of account reconciliation.
• Resolution of payment related inquiries when escalated.
• Perform month end Account Payable activities.
• Review, analyse and respond to internal and external supplier inquiries.
• Coordinate closely with Finance team to resolve any month end queries relating to Accounts Payable.
• Perform annual suppliers’ evaluation procedure.
• Periodically review and ensure AP procedures are in accordance with SOP.
• Assets taking and ensure all fixed assets are properly recorded and tagged
• Assist in auditors’ requests and support Finance team for internal/year-end financial audit.
• Assist duties of Accounts Receivable when necessary
• Perform other duties and ad hoc projects as assigned by Manager.

Requirements:

• Proficiency in MS excel
• Working experience with SAP Business 1 will be an advantage

Responsibilities:

JOB OBJECTIVES
Main responsibilities are to do accounting administrative tasks daily such as daily documentations that supports the charges/billing/payments are intact and clear. Report directly to Hotel Accountant and Management Accountant.

MAIN FUNCTIONS

1. Maintain complete knowledge of and comply with all hotel/departmental policies and procedures.
2. Prepare Daily Revenue Report ensure that all revenue transactions are taken-up correctly, properly supported and reconciled.
3. Investigate all discrepancies and make necessary adjustments (if any).
4. To check guest in-house rate check report, variances must be explained by Front Office
5. Complimentary & House use room must with appropriate supporting document
6. Monitor discount procedures and special programs to ensure compliance with guidelines established. Verify that programs involving coupons, certificates and vouchers are valid and duly accounted for.
7. Ensure that all voided checks, rebates, paid outs and miscellaneous charges are properly approved and supported.
8. Reconcile operator charges to ensure that all guest and internal calls are charged correctly.
9. Liaise with the Accounts Executive to confirm the accuracy of the Guest, City Ledger and COMO related charges.
10. Verify that officer checks (duty meals), F&B entertainment checks are processed according to the procedure.
11. Ensure all Income report was checked and compile Daily Pack are submitted on daily basis.
12. To maintain master file of complimentary and prepaid voucher issue to guests/clients
13. Assists in maintaining all supporting documents with regards to AP/Suppliers invoice, DO, and PO.
14. Assist the Accountant with the month-end closing as specified.

SECONDARY FUNCTIONS

1. Maintaining of Contract / Agreement Listings & Admin related for Finance Dept.
2. To assist in Purchasing during the absence of Purchasing Executive
3. Assist with other accounting job functions when assigned
