Human Resources Business Partner (German Section and Preschool)

The HR Business Partner will provide support to the German Section and Preschool of the school.

The role will support designated departments in Talent Acquisition, Talent Development, Performance Management, Engagement and Retention. The role will also act as an HR Consultant within the German Academic Sections and Preschool, supporting closely on people matters for those employed in the German Section and Preschool.

This position reports to the Director of HR and will work collaboratively with the HR Team and be a direct Business Partner to the Academic Directors of German Section and Preschool at GESS supporting the following key areas:

Talent Acquisition

· Drive critical efforts to deliver against strategic head count goals by partnering with hiring managers to leverage process, programs and technology to drive improvement and efficiency.

· Manage end to end recruitment process on ATS (application tracking system) and generate reports when needed.

· Partner with the Academic Directors of German Section and Preschool, HR Services and HR Manager to assess and develop creative strategies to enhance the overall candidate experience and onboarding process.

· Identify hiring trends, market insights and analysis, and drive recruitment experience.

· To work with HR Manager for seamless and enriching Onboarding experience for all new joiners.

Engagement

· Partner with the Academic Directors of German Section, Preschool and Director of HR to collaborate in improving engagement within the divisions ensuring expectations are properly set and clear priorities established while continually upholding the School’s values.

· Partner with the School to ensure that there is a plan in place to improve Team Member Engagement, if needed.

· Provide counselling to the School on trends in internal employee relations issues.

· Conduct exit interviews, sharing information and highlighting opportunities for improvement.

· Contribute to the employee engagement survey including driving key action points and staff communications.

· Manage operational and data needs to ensure compliance.

· Recruitment and Onboarding: Coordinate recruitment efforts, including but not limited to, posting job openings, screening resumes, conducting interviews, and making hiring recommendations. HR Consulting

· Communicate and interact effectively with staff in the division who may seek career development guidance.

Stakeholder Management

· Build effective relationships within the organization with various departments to work in collaboration towards the success of organisational goals.

· Building profitable and collaborative relationships with external search firms and training providers including contracts negotiation.

RESPONSIBILITIES

• This position is for Office of Human Resources and Faculty Administration (HRFA).
• HR Technology Management
  • Lead the strategic planning and execution of HR Technology systems/platforms to improve and streamline HR operations, as well as enhancing the user experience for employees, line managers and HR users.
  • Serve as a liaison between HR function and IT/System implementation partner for the SAP SuccessFactors implementation project and ongoing technology initiatives/enhancements.
  • Lead the design and delivery of new/enhancement of HR technology solutions including HRIS (SAP HR ECC, SAP SuccessFactors modules) and other relevant 3rd party HR tools (e.g., Qliksense, Glint, Chronus, Microsoft Office Tools, Document management System) to meet the needs of the organization.
  • Work closely with cross-functional teams to ensure smooth rollout and integration between HR systems and other organizational platforms, aligning to business requirements.
  • Facilitate the change management process for the deployment of new systems or major updates to existing HR systems/modules.
• Data Management and Analytics/Reporting
  • Oversee the management of HR data, not limiting to data structure inventory, data accuracy and compliance with data privacy.

• Compliance and Vendor Management

HR & Admin Manager (Singapore & Malaysia)

Responsibilities:

Human Resource

· Review HR and performance management policies and key KPIs

· Review company handbooks to include any updates or amendments in Employment Acts

· Handles recruitment process including talent sourcing, liaison with recruitment agencies, drafting job posts, onboarding and orientation.

· Plan manpower needs in line with Minstry of Manpower (MOM) directives and apply for work permit, S Pass, EP, DP and process pass renewals

· Organize annual medical checks for employees

· Handles off-boarding process like conduct exit interviews, termination, retirement

· Handles employee’s queries, grievances and provides career guidance

· Process monthly Singapore and Malaysia payroll using iPay and UBS SAGE including uploading to banks for payment

Principal Duties and Responsibilities

1. Finance Support (60%)

· Maintain accurate records of financial transactions, including invoices, receipts, payments, expenses, and grants-related documents.

· Handle invoicing, receipts, payments, and expenses, ensuring compliance with accounting standards and grant guidelines.

· Assist in updating project Profit and Loss (P&L) statements and preparing monthly financial reports.

· Conduct budget vs. actual analysis, including grants utilization tracking.
