JOB SUMMARY
- We are looking for an Executive Assistant to provide support to Management team member of WRB Technology. This role will coordinate and manage business support, scheduling and preparation of materials. The dynamic nature of this role requires the ideal candidate to have exemplary time management skills and the ability to identify and anticipate the MT’s needs. The individual must interact seamlessly and professionally across a broad range of stakeholders including close collaboration with TTO MT EAs and Business MT EAs. To perform this job successfully, the individual is expected to handle sensitive and confidential information with professionalism and discretion.
RESPONSIBILITIES
Core activities:
- Effective and timely diary management.
- Manage agendas and prepare materials for various meetings and committees.
- Support on any meetings, events and initiatives as directed and required.
- Raise appropriate service requests for technology-related services.
- Facilitate any onboarding/exit arrangements as needed including, but not limited to building access, hardware/laptop needs, mobile phone set up.
- Understand the Bank’s and Company’s procedure and rules, around the recruitment and/or onboarding for Non-Employed Workers.
- Ensure meeting materials are prepared and circulated in advance of the meetings.
- Ensure outcomes / agenda is well defined prior to the meetings for effective usage of management
Team responsibilities:
- Co-ordinate with team to ensure the MTs receives appropriate and timely information, to more efficiently allocate their time to matters of importance.
- Assist in the preparation and collation of information for reports to various committees and senior management and other stakeholders
- Create/manage distribution list
- SharePoint administration (including file management, access, and technical issues).
- Manage leave records and dependencies as well as other employee related administrative issues.
- Support the team to organise team engagement events, CSR activities and team meetings/conferences/workshops/offsite, when needed
- Support the Department with MyVoice, performance check-in related Impact Planning and execution / follow-up
- Ensure there is sufficient backup amongst the EA community and supporting each other during leaves.
Travel & Expense Management:
- Plan travel itineraries appropriately and within the Travel Policy
- Review travel agenda and ensure requisite pre reading / documentation are in place
- Review T&E submissions on behalf of MT. To ensure that expenses are in line with the T&E guidelines
- Review monthly cost report and ensure consistency of travel and expenses bookings.

Our Ideal Candidate
- 8+ years of senior level secretarial experience in a fast-paced organisation
- Comfortable to deal with senior management across different countries and cultures.
- Excellent business writing, verbal and presentation skills.
- A self-starter with a 'hands-on' style, able to operate with minimal guidance.
- Responsive with meticulous attention and highly detailed oriented
- Highly organized individual with the ability to exercise good judgment in diverse situation and balance multiple priorities.
- Excellent relationship building skills.
- Reliable and diplomatic individual who can maintain confidentiality of information.
- A team player who demonstrates good interpersonal skills with ability to prioritize workload and manage conflicting priorities.
- Self-motivated, confident, enthusiastic and practical personnel.
- Able to multi-task and manage numerous deliverables effectively.
- Time management and strong organizational skills
- Education : Degree preferred
