Qualifications

(A) JOB SUMMARY

You play a pivotal role in providing administrative support to Quality Management and Nursing Administration Departments, responsible for training administration, information management, project, audit and meeting co-ordination and reward and recognition program. Act as a liaison between Singapore Nursing Board, Ministry of Health, and other external stakeholders.

(B) PRIMARY DUTIES & RESPONSIBILITIES

B1. Information Management

• Maintain nursing policies and procedures and ensure these are reviewed and updated in a timely manner.

B2. Training Administration

• Registration and enrollment : Managing the process of enrolling staff in the training courses as per training schedule and tracking their progress. Collaborate with all stakeholders and ensure sufficient participants for the training to be held as planned.
• Classroom Set Up: Ensure appropriate classroom set-up for the training programs.
• Resource Allocation : Allocate resources such as training rooms, training materials, aids etc. for the training programs.
• Training Inventory : Ensure sufficient and appropriate training materials are accounted for and purchased in a timely manner.
• Evaluation : Measure the effectiveness of the training programs through assessments, feedback, and performance improvement metrics.
• Documentation : Keep records of training attendance, completion, and any certifications or credentials obtained.
• Continuous Improvement : Analyze training outcomes and feedback to make improvements to the training on an on-going basis with trainers.
• Compliance : Ensure training programs meet legal and regulatory requirements especially those mandated by Singapore Nursing Board etc. to achieve the continuing nursing training hours.

B3. Reward and Recognition (R&R) Program

• Provide and oversight for the R&R Program.
• Plan and execute the monthly, quarterly, and annually the various awards in a timely manner and track the utilization of vouchers and keep accurate records.
• Liaise with all stakeholders to ensure the event is held seamlessly and resources are readily available for certificates, SPOT cards, Vouchers etc.

(C). SECONDARY DUTIES & RESPONSIBILITIES (SPECIAL SKILL SETS)

• Support internal and external audits, including but not limited to licensing and accreditation.

Job Description

The Clinic Assistant is responsible for the effective administration and operation of duties assigned at the Reception Counter.

Responsibilities:

• Attends to reception duties.
• Registers cases and prepares the necessary documents for patients’ visit.
• Provide financial counseling to patients.
• Performs cashiering duties. Collects payment from patients. Reconciles the daily collection report with actual collections.
• Answers phone queries from patients.
• Chaperon and assists doctors during consultation.
• Makes & accept appointments for consultation.
• Cover duties of other staff during their absence where applicable.
• Performs any other duties as assigned

Requirements:

• Possess at least 2 years' relevant working experience.
• Knowledge using Clinic Assist will have added advantage.
• 5.5 days work week with night clinic.
• Comfortable to be cross-deployed when the need arises.

(A) JOB SUMMARY

You play a pivotal role in providing administrative support to Quality Management and Nursing Administration Departments, responsible for training administration, information management, project, audit and meeting co-ordination and reward and recognition program. Act as a liaison between Singapore Nursing Board, Ministry of Health, and other external stakeholders.

(B) PRIMARY DUTIES & RESPONSIBILITIES

B1. Information Management

• Maintain nursing policies and procedures and ensure these are reviewed and updated in a timely manner.
• Maintain confidential and sensitive information.
• Organize and manage files, documents, and records.
• Develop forms when needed.
• Be proficient with office software and technology tools, including word processing, spreadsheets, software such as slido etc.

B2. Training Administration

• Registration and enrollment : Managing the process of enrolling staff in the training courses as per training schedule and tracking their progress. Collaborate with all stakeholders and ensure sufficient participants for the training to be held as planned.
• Classroom Set Up: Ensure appropriate classroom set-up for the training programs.
• Resource Allocation : Allocate resources such as training rooms, training materials, aids etc. for the training programs.
• Training Inventory : Ensure sufficient and appropriate training materials are accounted for and purchased in a timely manner.
• Evaluation : Measure the effectiveness of the training programs through assessments, feedback, and performance improvement metrics.
• Documentation : Keep records of training attendance, completion, and any certifications or credentials obtained.
• Continuous Improvement : Analyze training outcomes and feedback to make improvements to the training on an on-going basis with trainers.
• Compliance : Ensure training programs meet legal and regulatory requirements especially those mandated by Singapore Nursing Board etc. to achieve the continuing nursing training hours.

B3. Reward and Recognition (R&R) Program

• Provide and oversight for the R&R Program.
• Plan and execute the monthly, quarterly, and annually the various awards in a timely manner and track the utilization of vouchers and keep accurate records.
• Liaise with all stakeholders to ensure the event is held seamlessly and resources are readily available for certificates, SPOT cards, Vouchers etc.

(C). SECONDARY DUTIES & RESPONSIBILITIES (SPECIAL SKILL SETS)

• Support internal and external audits, including but not limited to licensing and accreditation.
• Perform secretariat roles for assigned committees.
• Perform planned activities such as Quality week events.
• Handle correspondences and coordinate meetings.
• Any other tasks as assigned by the Supervisor.

(D). JOB REQUIREMENTS:

• Diploma level preferably with ability to type & computer literate

• Friday : 8:00am to 5:00pm

Key duties

• Reviews patients periodically to assess their progress and to ensure that high quality care has been provided and to ascertain patients’ needs for additional care / services
• Provides supervisory consultation and support to her staff
• Attends meeting and participates in committees as assigned
• Audits staff regularly to keep track of key performance indicators (KPIs) of the department and ensure conformity. To help with review KPIs periodically and if necessary to set new KPIs to improve nursing standards.
• Assist in managing the ward roster ensuring that there is an adequate staff on duty at all times.
• Takes corrective and preventive actions where necessary to eliminate or minimize the cause of existing or potential critical quality problems identified.
• Audits patients’ case notes and nursing documentation to ensure that records are up to date and in line with the legal requirements for documentation.
• Implements and monitors infection control practices and procedures and ensures that the staff understands and follows these policies and procedures strictly.

Requirements:

• Degree in Nursing with at least 6 years of experience in clinical and supervisory role
• Proven experience in managing multi-disciplinary ward
• Ability to commence work immediately is an added advantage
• Must be registered with Singapore Nursing Board

The Temporary Accounts Assistant is primarily responsible for handling the full set of accounts for a few companies. To manage daily Accounts Payable, Accounts Receivable and General Ledger functions.

RESPONSIBILITIES

· Prepare journal vouchers for monthly closing purpose

· Prepare monthly audit schedules and clear the reconciling items promptly

· Prepare AR invoices, monitor receipts and update accounting system

· Processes accounts payable invoices matching and verifying with purchase requisitions/orders, delivery order/goods receipts

· Ensure accounts payable invoices and expenses claims are accurate and duly approved by relevant Head of Department

· Cheque issuance and electronics (online) payments to vendors and refunds to patients, monitor accounts to ensure timely payments

· Reconciling supplier’s statement

· Input invoices and payments into the accounting system

· New Vendor registration to the system, ensuring completeness of vendor master form

· Correspond with vendors/clinics and respond to inquiries

· Participate in stocks take on quarterly and annually basis

· Ensure that policies and procedures and limits of authority are adhered to and financial controls are in place.

· Assist in preparation of schedules and reports as required

· To cover other team members’ duties during their absence

· To undertake any other ad-hoc duties as assigned

REQUIREMENTS

· Diploma in Accountancy / Accounting Certificate

· 3 years of relevant accounting experience

· Proficient in Microsoft Excel, Word, PowerPoint

· Proficient in Accounting System (preferably ACCPAC)

EMT Role

• Transport residents from the nursing home for their routine medical appointments and admission/discharge
• Coordinate with the Staff Nurses in the planning of the route and time of transport.
• Maintain cleanliness and working condition of the van.
• Attends to any other delivery requirements or errands when needed.

Care Assistant Role

• Assists the registered nurses in the delivery of nursing care to the residents in the Home.
• Assists the physiotherapist in the delivery of therapeutic activities to the residents in the Home
• Helps to maintain a clean, safe and neat environment for the residents in the nursing home.

Requirements:

• Relevant EMT course with SCDF/SAF
• AED/BCLS Certified
• Able to work under high pressure and fast pace environment
