Job Responsibilities:

Correspondence and Communication:

• Manage incoming and outgoing correspondence, including emails, letters, and phone calls, ensuring that messages are prioritized appropriately.
• Draft and prepare official correspondence, reports, and presentations as needed.

Calendar Management and Administrative Support:

Job Requirements:

• High school diploma or equivalent; additional qualifications in office administration or related fields are advantageous.
• Proven experience as a personal assistant, executive assistant, or in a similar administrative role.

Personal Assistant to Senior Management

Meranti Power Pte Ltd, a fully owned subsidiary of Energy Market Authority, is establishing a multi-discipline project team and corporate team to facilitate and ensure timely implementation of power generating station projects and thereafter, operation and maintenance of the power generating station. We are inviting applicants for the position of Personal Assistant who shall report to the Head (Human Resource). The scope and requirements are as follows:

We require the Personal Assistant to be highly organised and proactive in providing comprehensive support to our Senior Management team. The ideal candidate will possess exceptional communication skills, a strong attention to detail, and the ability to manage multiple tasks efficiently. This role requires discretion and the ability to handle confidential information with professionalism.

Roles and Responsibilities:

• Calendar Management of Senior Management including travel management and planning
• Organise and schedule meetings and events, including arrangement of venues, preparing agendas and materials
  
• Assist in the preparation of reports, presentations, and other documentation as needed. Ensure all materials are accurate and delivered on time.
• Minutes taking and ensure timely follow up on action items
• Act as the primary point of contact between Senior Management and internal/external stakeholders, i.e. handle phone calls, emails and correspondence.
• Provide administrative support, including email correspondence, document management, admin building, pantry, facilities logistics, events planning and setup
• Other admin duties – obtaining supplies, sorting/distributing mails, general office administrative tasks.

Requirements:

• Education in Business Administration, Management or related field
• Proven experience as a personal assistant, preferably supporting Senior Management
• Exceptional organizational and time-management skills

• Willing to work in construction site office during construction stage and Jurong Island. (Morning transportation pick-up points available at different parts of Singapore.)

Qualification & Requirements

• Minimum Diploma and preferable in engineering training.
• Training in or understanding of supply chain management will be an added advantage
• Knowledge in contract law, ISO 9001 QMS and negotiation skills are a plus
• Minimum of 2 years relevant working experience or 5 years working experiences in oil and gas industry
• PC literate especially in MS Office particular Excel, Words. and Adobe. Able to work in an ERP environment. Understanding MS, Project etc will be a plus

Key Responsibilities

• Personal assistant to Senior Manager Special project and Contract
• Manage routine sales and assigned project tender enquiries. Involved in the tender preparation, collate the tender documents and prepare on time submission.
• Interface with the customers and inter / intra departments on the change of scopes, clarifications, etc and ensure on time submission.
• Montor (closely) and follow up on quotations and tender submissions.
• Assist in contract management on contract award.
• Involved in contract execution as assigned including but not limited to interface with sub-contractors, technical specification compliance, on shore supports, project cost control and monitoring, delivery assurance, as built documents compilation and submission etc.

Responsibilities:

• To identify the learning needs (functional capabilities) of the Yard and operations division
• Design, develop and deliver training programs
• To manage training facilities and equipment (of the person’s specialized trade)
• To manage training systems and records and prepare for internal and external audits
• Conduct learning needs analysis survey to gather feedback from relevant stakeholders
• Identify the program learning outcomes according to the learning needs of the yard and operational departments
