Team structure

The team in Singapore comprise a total of five members: Finance manager, Accountant, Accounts executive, two Accounts assistants and a Credit controller. The team is responsible for the processing and integrity of information relating to; purchase ledger; credit control; cashiering, billing and the preparation of daily, weekly and monthly reports. The finance manager prepares the management and financial statements.

You will have a dual reporting line to the Office Managing Partner, Daryll Ng and the CFO, Hamedeh Ghobadian.

You will be part of a wider team of finance professionals in the SH network of offices and will be in regular liaison with the Head Office team in London.

Main responsibilities

Finance function

• Day to day management of the Finance function in the Singapore office ensuring optimal structure and work allocation within the finance team.
• Oversee the preparation of GST tax and withholding tax returns.
• Process and control improvements of the financial operations and promoting consistency of operations in line with firmwide best practice.
• Managing working capital management and oversight of WIP and Debtor reviews with partners.

Annual Accounts

• Preparation of the annual audit and review audit of the annual accountant reports.
• Ownership and preparation of the Annual accounts including partner profit allocations, drawings and current account statements; this will be aligned to IFRS in due course.
• Liaising with tax adviser in relation to the preparation of the LLP’s annual tax return and adhoc tasks such as withholding tax and other tax related issues.

Partners and Tax

• Providing reports to assist Partner appraisals.
• Liaison with the London partnership team in relation to partners’ capital and current accounts held in London.
• Liaising with tax advisor in the preparation of the partner’s tax returns.
• Information requests / ad hoc reports from the London office.

Job Responsibilities

- Oversee financial planning and business performance analysis, including budgeting, forecasting, cash flow, investment and risk management activities.

- You will ensure the accuracy of financial statements and adhere to corporate reporting timetables. You will also assist in implementation of management and administrative financial systems to provide structure for sustained business growth.

- To ensure compliance with established financial processes, local compliance requirements, financial reporting and review of revenue, expenditures, asset management, tax, management reporting and administration.

- You will be responsible for the implementation of finance strategies and objectives. You will manage and liaise with external auditors and tax agents.

-You must possess the knowledge to evaluate the company's P&L and also plan for effective finance strategies.

Requirements

- Possess a degree in accounting or finance with at least 10 years of relevant experience.

- Prior experience from the F&B industry is an advantage.

Job Description:

· Manage and oversee operations of accounts department

· Responsible for monthly and yearly closing of financial accounts

· Provide analysis for monthly management reports

· Provide accurate and timely tax and accounting reports to the management and relevant authorities

· Review procedures and policies to suggest improvements with emphasis on governance and internal controls and the subsequent implementation

· Work with management and various stakeholders to determine working capital needs and funding strategies

· Work closely with other departments on digitalisation project

· Play in key and active role in budgeting and forecasting activities, and costing matters

· Plan and coordinate the annual financial audit

· Tax planning and annual tax reporting matters

· Review and submit quarterly GST submissions and annual tax submissions

ESSENTIAL DUTIES AND RESPONSIBILITIES

Premises Management:

· Overall responsibility for the operations of the Central Kitchen premises, including the kitchen and warehouse.

· Ensure cleanliness and proper maintenance of shared areas such as food warmers, bento packing area, storage areas, beverage room, and corridors. This includes cleaning floors, unboxing cartons, and organizing storage facilities and the driveway leading to the Central Kitchen.

· Oversee the cleaners to achieve the above objectives

Inventory and Ordering:

· Responsible for monthly inventory ordering, including packaging and other supplies for the Senoko kitchen to maintain par levels.

· Prepare and submit monthly inventory reports to procurement department.

· Monitor stock levels, track usage, and ensure timely replenishment of required items such as disposable bento boxes, cutlery, and packaging materials.

Laundry and Equipment Maintenace:

· Supervise the laundry process, ensuring that dry items are sorted, folded, and properly stored.

· Maintain a list of light bulbs, green strips for drain covers, sinks, soap dispensers, and other routine supplies, ensuring they are available for replacement as needed.

· Ensure that all minor repairs in the kitchen and warehouse are completed promptly, such as replacing light bulbs, fixing door handles, and maintaining other small equipment.

· Report major equipment malfunctions and coordinate necessary repairs.

Packing and Takeaway Management:

· Maintain close oversight of the packing of bentos and takeaway orders, ensuring that all necessary items (such as cutlery and sauces) are included.

· Ensure that all takeaways, including disposable bento boxes and wooden bento boxes, are packed properly and efficiently with the appropriate manpower provisions made.

· Ensure coordination with the admin team to facilitate Lalamove orders and collections, ensuring timely delivery.

Warehouse Management:

· Conduct regular visits to the warehouse (fortnightly for half a day) to clean, sweep, and organize the space.

· Ensure all items are stored properly and maintain an organized inventory system.

· Participate in monthly and annual stock takes to ensure accuracy in inventory records.

Food Safety and Hygiene:

· Maintain and enforce food safety practices by ensuring cleaning checklists are adhered to.

· Keep track of food safety certification for all part-time staff and ensure documentation is filed with the admin team.

· Ensure that all packers and other staff in the kitchen are wearing the necessary PPE and following proper hygiene protocols.

Staff and Operations Support:

· Assist with staff management by ensuring that a part-time (PT) staff member is scheduled to cover logistics duties on leave days, as per the roster.

· Coordinate with other departments, including procurement, to ensure the efficient flow of goods and services.

Other Duties:

· Support the maintenance of the Halal System within the kitchen operations.

· Perform ad hoc administrative and operational duties as assigned.

• At least 1 year of experience in a logistics or warehouse management role, preferably in a kitchen or catering environment.
