The successful incumbent will be a part of the professional team that serve to uphold proper procurement governance and providing support in the areas of procurement, administrative and IT coordination to the organization.
Major Duties and Responsibilities
Procurement & Sourcing
- Perform timely execution of procurement activities (sourcing, tendering, seeking purchasing approvals)
- Conduct sourcing and market sensing activities
- Draft procurement documents (ITQ, ITT, Submission Report, etc) for review
- Ensure the whole purchase request to contract award is timely followed through
- Prepare pricing summaries and cost analysis to relevant stakeholders and evaluation committee
- Ensure proper documentations and approvals are obtained and filed in proper order
- Creation of Period Contracts in ERP system for all requesting departments
- Issuance of Purchase Orders to suppliers and follow through on outstanding issues
- Prepare monthly report of outstanding Purchase Orders and follow up with respective divisions
Office Administration
- Assist in ordering pantry and office supplies
- Assist in new staff onboarding activities (issuance of staff pass and equipment)
- Organize meetings and drafting minutes
- Assign and uphold Item Code records in ERP system
- Provide support in day-to-day administrative related matters
- Carry out any other administrative duties or tasks as assigned
Information Technology (IT)
- Provide subject matter expertise in regards to ERP system
- Coordinate the activities of IT equipment issuance, Tech Refresh, and technical issues
Any Other Duties
- Understand the policies stipulated in the Procurement Manual and Financial Regulations to advise stakeholders
- Any other tasks or duties assigned by the Manager or Head, Administration & Procurement
Requirement & Skills
- Diploma preferably in the field of procurement and supply chain management
- Diploma/Degree Holders with no prior experience are welcome to apply
- Strong command of written and spoken English
- Ability to draft official documents using formal language
- Proficient in Microsoft Office, particularly Excel & Words
- Positive mindset: willingness to learn and contribute
- Must be a good team player and able to establish good relationship with peers
- Good communication and interpersonal skills
- Able to work in a fast-paced and restricted work environment
- Able to prioritize well and generate outcomes
- Able to work independently with minimal supervision
