Scope:

Culture Development and Maintenance

Requirements

• Recognised degree with at least 2 years working experience in HR, organizational development, or employee engagement roles.
• Proven experience in driving culture and engagement initiatives.
• Strong interpersonal and communication skills.
• Ability to analyze data and translate findings into actionable strategies.
• Knowledge of best practices in organizational culture, employee engagement, and DEI.
• Ability to manage multiple projects and collaborate with cross-functional teams.

1. Facilitate Employee Listening

• Support in the planning, design and roll out of communications and assist in follow-up of actions plans.
• Monitor and track staff feedback received through staff suggestion page and our internal employee mobile app. Ensure all feedback/suggestions loop are closed in a timely manner. Upkeep and manage data for analysis.
• Support in the end-to-end administration and implementation of Employee Experience Survey.

2. Enhance Employee Experience

• Plan and organise organisation-wide engagement initiative and events to strengthen culture embedment, engagement, and staff bonding.
• Plan, design and roll out of monthly communications and campaigns to promote app sign up and usage. Upkeep user records and provider user support. Compile and analyse sign-up and usage reports. Budget management and administration of rewards (points).
• Coordinate quarterly Employee Engagement Workgroup (EEWG) meetings and collaborate with Engagement reps to cascade organization wide Employee Engagement (EE) initiatives and programs. Organise year-end social event for EEWG.
• Promote the use of playbook to encourage adoption and practice of generative conversations.

3. Other Administrative Matters

• Maintain HR Intranet, MS Teams folder and other relevant pages/forums.
• Manage procurement, finance, contracting and budget matters.
• Liaise with relevant vendor(s) and consultants on project management.
• Coordinate stakeholders’ schedules and availabilities.
• Support queries on all matters relating to the above.
• Participate and support the HR department and team in all projects and initiatives where assigned

Role Requirements:

• Bachelor degree from a recognized university, post-graduate qualification in HRM will be an advantage
• Minimum 2 years in Human Resource function in a big organisation is preferred
• Experienced in organising engagement campaigns, events and project management
• Experience in the healthcare sector will be an added advantage
• Strong interpersonal and communications skills, particularly in written communications
• Proactive with a sense of urgency and responsibility

Job Summary:

This role is responsible for providing basic tactical and strategic administrative support to upper-level executives within the organization, scheduling appointments, managing calendars, handling phone calls and emails, and coordinating travel plans.

The role entails general administrative tasks like photocopying, logistic shipments, acting as a primary point of contact for internal and external stakeholders, and conducting basic research.

The role involves drafting and formatting documents, organizing meetings, and coordinating administrative work within and across departments and divisions.

Responsibilities:

• Holds responsibility for performing basic tactical and strategic administrative support tasks for upper executive-level employees of the organization, and is recognized as the top administrative employee in the department or division.
• Manage appointments scheduling, meetings, and events for executives, maintaining their calendars, and sending reminders, and assists in reserving conference rooms, setting up audio-visual equipment, and preparing meeting materials.
• Complete a broad variety of administrative tasks that facilitate the ability to effectively lead the organization, including assisting with special projects; designing and producing complex documents; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; and maintaining contact lists.
• Provides general administrative support as needed, including photocopying, faxing, and mailing documents.
• Conduct basic research tasks, such as gathering information for reports or projects, in collaboration with relevant stakeholders.
• Drafts and formats routine documents, reports, and presentations, and proofreads and edits documents to ensure accuracy and compliance with company guidelines and policies.

• Drive operational efficiencies through development of repeatable processes and utilization of productivity tools (i.e. Teams, Smartsheet, etc.)
