Job Summary

As a Team Assistant / Secretary, you will play a pivotal role to support various aspects of business operations as the business grow and scale.

Responsibilities:

1. HR-Internal hiring (tech & non-tech roles):

• Provide basic HR support for the team
• Support to source potential candidates for internal hiring
• Arrange and confirm appointments or interview
• Advertise job openings on careers pages, job boards and social networks (e.g. LinkedIn)
• Design and implement employee referral programs
• Source candidates through online channels (e.g. professional networks and portfolio sites)
• Screen resumes and applications and update candidates on hiring processes
• Interview candidates during various hiring stages, including phone, first-round and second-round interviews
• Report to hiring managers and HR managers on the status of open positions
• Evaluate candidates based on their interview and assignment performance
• Determine qualification criteria for each position
• Analyze turnover and retention rates to forecast hiring needs
• Update job descriptions (e.g. add tasks or modify requirements)
• Answer candidates’ queries regarding the application process
• Provide interview feedback, when necessary and appropriate

2. Office Operations / Administration:

• Manage and support the day-to-day administrations and operation of the office
• Screens and responds to incoming calls and emails
• Collate information, prepare and manage correspondence, reports and documents
• Minutes taking of meetings
• Organize and coordinate meetings, conferences, travel arrangements
• Support in developing & implementing internal regulations and policies
• Support in organizing internal events such as employee birthdays, team-building, etc.
• Support office facilities management/maintenance
• Customer success - call up of dormant clients, as independent customer success calls to understand clients status
• Any other ad-hoc tasks / special projects assigned from time to time.

Requirements:

• Good verbal communication skills in English and Mandarin for liaising with Mandarin speaking counterparts
• Ability to work independently with minimal supervision
• Fast learner, resourceful and autonomous

The Opportunity

• Opportunity to work with a Reputable MNC. Providing secretarial and admin support to the Branch Manager.
• Mon - Fri: Office Hour
• Location: Central
• 12 Months Contract (Convertible)

The Requirement:

• At least 2-3 years of secreterial/ business support experience preferably with experience supporting expat manager
• Computer literate and familiar with Microsoft Office Applications

Job Description:

• Providing full administrative support to the team and secretarial assistance to the Singapore Branch Manager
• Proactively contribute to the manager's calendar including organizing appointments, meetings, send reminders or notice of meeting cancellation or changes taking and prioritizing the most sensitive matters.
• Manage and coordinate Branch Manager and/or team travel, accommodation, transportation, etc.
• Assist with preparation of meeting presentation
• Taking notes and following up for meetings
• Responsible for end to end of processing Manager’s reimbursements for medical, entertainment and business trips.
• Support in the relocation of expat and families moving to Singapore
• Carry out office administration and/or projects as requested by the Branch Manager
• Manage team reimbursement for payroll processing
• Ensure the office is in compliance with HSE regulations
• Any other ad-hoc duties
