Position Title: HR & Admin Executive

Job Description

We are looking for a HR & Admin Executive to join our team. This position will be remote reporting to the HR & Admin General Manager based in Shanghai HQ in partnering and supporting her with the day-to-day HR and Admin operations related to the Singapore office as well as other regions office. He/She will foresee a rapid career growth with high job satisfaction and accomplishments.

Job Responsibilities:

HR Operation - (50%)

• Handle the recruitment process (e.g., Job posting, coordinate for interviews, preparation of offer letters, new hirers onboarding registration, etc.)
• Create, maintain and update employee’s file records and leave records in system
• Responsible for all types of leave, payroll and salary administration
• Responsible for all work-related passes (e.g., Application, renewals, cancellation etc.)
• Submission of all government-related claims matters
• Enrolment and Termination of Insurance through the insurance portal
• Administer training related matters including coordination or enrolment of external courses, update & maintain training record etc. if any
• Support in the implementation of HR policies, procedures, and guidelines
• Provide support in all general administrative HR operations
• Assist in other ad-hoc tasks or projects as assigned by the HR & Admin General Manager

Admin Operation - (50%)

• Responsible for purchase & maintenance of office related equipment’s (e.g. office furniture, laptops, photocopier, desk phones and other consumables etc.)
• In charge of stationery and office needs purchase (e.g. stationeries, printing of name cards, company logo or signage, letterheads etc.)
• Updating and maintenance of office admin and assets inventory list
• Responsible for office environment maintenance in keeping office clean and tidy
• Processing of office admin related invoices into system to ensure prompt payment
• Sourcing and liaison with vendors in provision of quotations for best quotes related to admin matters
• Assist on other daily administrative activities and provide support to the team (e.g. renovation works, open mailbox, sort incoming mails etc.)

Job Requirements:

• Diploma/Degree in HR/Business or equivalent
• At least 4 years’ of working experience as a HR Generalist
• Good knowledge and keep up to date to HR practices and MOM regulations
• Hands-on, meticulous, high integrity, responsible and good team player
• Willingness to learnt and able to work independently with good multitasking skills
• Able to meet timelines and excellent organizational skills
• Proficient in both English and Mandarin

We are looking for a Operation Executive to join our team. This position will be reporting to the Manager based in Singapore to support in the daily freight forwardng operations related to the Singapore office.

Location: Singapore

Responsibilities

· Responsible for import/ export operations.

· Planning and organize day to day operation for air / ocean shipment.

· Work closely with customers, carriers, co-loader, oversea agent, and contractors to ensure smooth of operations.

· Work closely with internal stakeholder resolve issues.

· Prepare shipping instruction / Bill of Lading and others shipping documents

· Billing and cost verification.

· Ensure that all jobs are monitored, costs, selling figures are accurately & timely updated in system

· Ensure all event data are updated correctly in system

· Communicate discrepancies/issues to team lead/manager when necessar

· Ensure follow company SOP and other duty assigns by department manager

Qualifications / Requirements

● At least 2 - 3-years’ experience in Freight Forwarding

● Must have DG and custom regulation, FTA COO knowledge is beneficial

Mission of the role: The Supply Chain & Reporting Executive is primarily responsible to the Supply Chain Manager and the team in daily/weekly supply chain operational tasks and this includes all data collection, scrubbing, and identifying level 1 trends relating to supply chain and customer service operations. This role must also develop queries to extract data for department needs.

This role will be involved in discussions with peers and management to determine opportunities to streamline manual processes and develop automated relationships. This will eventually help to enhance reports and/or operational processes without an increase in operational expense, whenever possible.

Key Responsibilities:

• Perform data updates and extraction accurately on an ad-hoc, daily, weekly, monthly, and quarterly basis from multiple data sources and analyze large volumes of data for both Customer Service and Supply Chain.
• Work with the fulfillment center to ensure high level of data accuracy in inventories and stock movement. Ensure any reported discrepancies are resolved timely.
• Ensure accurate and timely issuance of Purchase Orders with U.S./China contract manufacturers as per ordering lead-time. Work with vendors to print and supply product labels to contract manufacturers / fulfillment centres on time.
• Coordinate product release with Regulatory and Quality partners before distribution can take place as part of the compliance control process.
• Liaise with Finance to ensure timely payment to contract manufacturers.
• Handle sample requests from internal stakeholders and liaise with the Fulfillment center to apply SAMPLE label before samples can be shipped out.
• Provide support in cycle count, compliance and SOP training, process improvements, participation in selection of logistics service providers, internal/external audits etc.
• Maintain proper filing and retention of all documents and forms (COA, cGMP certification, Trademark, Invoices, shipping documents, Product Release Forms, etc.)
• Assist on sourcing/ordering free gifts and orders follow-up.
• Perform other duties as assigned.

KEY QUALIFICATIONS

• Higher NITEC/Diploma/Degree in Supply Chain / Logistics Management or any other related field.
• Some experience in demand and supply planning, purchasing, materials management or logistics management is ideal.
• Advanced proficiency in Microsoft Excel/Google sheets with ability to create Pivot Tables, V-Lookups is essential.
• Strong attention to details is needed.
• Willing to work on routine reporting and data entry.
• Ability to act with a strong sense of urgency with excellent follow-up for resolution is crucial.
• Ability to collaborate and work effectively in a cross-functional, team environment is a plus.

Inventory & Shipment

• Prepare KCT’s stock on hand for the fortnightly discussions.
• Provide projection of stocks holding period based on latest sales information.
• Highlight any shipment plans needed and ensuring no out of stock situation.
• Oversee the paper work required for importation and exportation.
• Keep track of the local stocks and overseas shipment arrival dates.
• Ensure the accuracy of goods arrivals (SKUs, quantities and shelf life etc) based on the agreed terms with supplier.
• Update the operation team on the shipment arrivals and stocks’ ready date for sale.

Marketing

• Prepare weekly update of channel marketing and price promotions reports for team meeting.
• Coordinate with different channels and suppliers for tactical marketing and price promotions.

Business Development

• Promptly supporting in listing new products and promotions as per agreement between KCT and channels.

Responsibilities

• Ensure cargo transportation as per contact with efficient turnaround of vessel

• Efficient stowage plan to optimize tank utilization, compliance with regulations and procedures for vessel’s safe operation, compliance with statutory regulations, and coordination with chartering

• Prepare monthly, yearly, and any other periodical result when required

• Coordinate voyage planning

• Prepare and forward voyage instructions to the vessel

• Appoint an agent and coordinate to ensure a smooth turnaround

• Arrange and Instruct cargo release
