KEY RESPONSIBILITIES
The Ward Admin Assistant supports the Nursing Administration with a variety of tasks that includes the following but is not limited to
1. supporting the Nursing Department in all administrative functions such as filling, co-ordination incoming and outgoing mails, monitoring stationary usage, transport request, resident meals request, raising purchase requisition.
2. assisting in the billing of services rendered to residents by nursing service (medication, transport, consumable and etc.)
3. conducting regular inspection of ward furnishings and equipment and arrange repair /replacement in liaison with the Nurse Managers.
4. contacting and arranging repair and maintenance work with Operations and follow up with checks to ensure that work has been carried out
5. assisting in ordering and maintenance of ward stock and ensuring supplies are at the par level.
6. representing Nursing department by participating in the various activities organised by the Nursing Home.
7. assisting in administrative preparation, e.g preparation of material and refreshments for workshops and key meetings.
8. Organising and taking notes/minutes of meetings.
9. participating and rendering help in corporate activities and event.
10. liaising with nursing staff to ensure resident’s property /valuables are locked away and complete safekeeping and Indemnity form.
11. demonstrating effective communication with residents, Next-Of-Kin (NOK), carers, and members of the public.
12. demonstrating effective communication with the nursing team and the multi-disciplinary team.
13. maintaining confidentiality of residents’ records at all times.
14. supporting and updating any data base systems (e.g. ECCare Suite), including the preparation and collation of statistical returns when necessary (e.g. Clinical Indicators, Infection Prevention & Control (ICC) audits, etc.)
