Key Responsibilities:
Operations:
- Coordinate with outsourcers, logistics, service stations, and bookkeepers to ensure operational excellence.
- Generate daily reports to track and optimize operational performance.
- Manage and analyze asset statistics, creating detailed reports.
- Draft proforma invoices and contracts using standardized templates.
- Conduct thorough evaluations of vendor performance to uphold quality standards.
- Take on various tasks flexibly as designated by the Manager.
Finance:
- Liaise with outsourced bookkeepers, auditors, tax authorities, and banks to ensure financial compliance and oversight.
- Manage a full suite of accounts, including bookkeeping, general ledger maintenance, accounts payable, cash management, and bank reconciliations.
- Maintain accounting records with utmost accuracy and timeliness.
- Handle transactions and payments to suppliers efficiently.
- Collaborate with external auditors and tax consultants for audits and inquiries.
- Manage special, ad-hoc projects as they arise.
Admin:
- Oversee a wide range of administrative functions, contributing to the smooth operation of the business.
- Administer payroll processes, manage expense claims, and handle other related financial matters.
- Process work pass and visa applications, as well as renewals and cancellations, ensuring legal compliance. (Prior experience with visa applications is highly valued.)
- Embrace a variety of tasks as assigned by the Manager, demonstrating versatility and commitment.
Requirements:
- A foundation in Finance and Commerce principles.
- Advanced proficiency in Microsoft Office and strong statistical analysis skills.
- An organized and detail-oriented mindset, with the ability to multitask effectively.
- Excellent communication skills in English and the capacity to engage with Chinese-speaking vendors and suppliers.
